Frequently Asked Questions

  • There is lots of information for attending delegates on our Delegate Information pages but some frequently asked questions are included below.

    Will my presentation be recorded?
    • WorldCUR-BCUR 2023 is an in-person conference, and we won't be recording or streaming online. If you wish to have your presentation recorded for your own archive or even just to show friends/family, please do ask one of our room stewards/volunteers on the day- they'd be more than happy to help!
    Will filming and photography be taking place at the event?
    • Yes, we will have a filming crew and a photographer at the events, who will be travelling between venues and presentation sessions.
    I am unable to login to upload my presentation slides/I receive an error message when I try to upload my slides
    • All instructions including login details can be found in the communications we had sent last week. In case it doesn't work as expected - our advice at the moment is as follows:
      • Try logging in on a different browser
      • Try logging on a different device
      If neither of these is successful, please get in touch with your university IT services for assistance
    Can I bring my own laptop or thumb drives to use during my presentation?
    • NO, you will not be able to use your own device to present. All presentations need to be uploaded on myfiles.warwick.ac.uk using the instructions that have been sent to you via email.
    How do we control our presentation slides?
    • You will be able to control your slides using clickers provided in the presentation rooms.
    Can I bring my friends from Warwick to attend my session?
    • Your friends from Warwick are very welcome to attend the keynote and closing plenary. To do this, please ask them to log in to their Warwick account and register here. Other sessions are only open to people who have paid and registered (we are no longer accepting new registrations).
    What should I wear to the conference and the gala dinner?
    • The official dress code of the Gala Dinner is smart casual, as is for the rest of the conference, so don't worry about being too fancy! If you do want to dress up a bit more than for the rest of the conference, it is an opportunity for that - but it's definitely not something for which you'll be "underdressed" in any way.
    What is the etiquette when attending panels?
    • Unless you have an urgent need that needs to be attended to (for instance, if you have a disability), please try not to not leave a session midway, as this disrupts the flow of the presentation of the person speaking, demotivates them and distracts other audience members. Try to be present, be curious, ask questions and make the most of the time and the space you are in. If sessions are full, please check the programme for another session you can attend.
    Can I attend events at the conference I am not registered for?
    • There are many crossover events happening for both WorldCUR and BCUR attendees, including Poster Presentation sessions, lunches, our Keynote and Closing Plenary. Delegates can choose one or two panels from the other conference (WorldCUR/BCUR) to go to that are of special interest to them but attendees should generally attend presentations at the main conference they are registered for and support other delegates at that event.
    What should I do if a conference session is full?
    • We are delighted to have around 650 delegates joining us for WorldCUR-BCUR. We are not asking people to register for sessions, so inevitably there will be some sessions that are very popular, and rooms will fill up. If there is a particular session you would like to attend, please ensure you get to the room early to avoid disappointment. If a session is full, there will be a number of other interesting sessions in that time slot, so please consult your conference programme and find another panel to attend.
    When do I need to register?
    • You should try to register for the conference you are attending during the registration times in our programme. However, registrations desks will also be staffed all day between 08.00 and 18.00 in the Oculus foyer on Tuesday 4th April and from 08.00 and 18.00 in the foyer outside the Mead Gallery in the Warwick Arts Centre on Wednesday 5th April and Thursday 6th April.
    Where can I store my luggage?
    • If you arrive on campus before 3pm, you will not be able to check-in to campus accommodation. Please go to our registration desk on the ground floor of the Oculus building to gain access to a luggage storage room from 1pm on Monday 3rd April to 3pm on Tuesday 4th April or the registration desk outside the Mead Gallery in the Warwick Arts Centre on Wednesday 5th April and Thursday 6th April. Luggage storage facilities are taken up at your own risk.
    What are the theme sessions?
    • Most of our conference presentations are centred around our conference themes to encourage interdisciplinary conversations and facilitate professional networking and project development. To further explore these themes and how they can lead to new conversations, new ideas and new research, we invite delegates to attend a moderated session to discuss each theme with other presenters and attendees. Sessions on the Health, Sustainability and Power themes will take place on Wednesday 5th April at 9am in the Oculus Building and sessions on The Future, Community, Data and Create will take place on Thursday 6th April at 1:45pm in the Oculus Building.
    What special and complementary sessions are available to attend?
    • We have a range of interesting complementary sessions focused on research skills, learning about research dissemination, and general issues around undergraduate research and its practice, taking place in the Oculus Building at various times during the conference programme.     How do I access the conference programme?
    • Our conference programme is hosted online at Oxford AbstractsLink opens in a new window, where you can search presentations, filter by conference and by theme, and bookmark all the sessions you wish to attend. You can also choose to contact or be contactable by your fellow delegates, and browse all the abstracts being presented at the event. You must have an Oxford Abstracts account to access the programme, which all registered delegates will have created upon registration.
    What is the WorldCUR-BCUR Photo Competition?
    • The WorldCUR-BCUR 2023 photo competition is an extra activity for delegates interested in photography and wishing to have their photographs of the conference featured in a virtual gallery, after the event. Delegates can submit up to 6 pictures using the WorldCUR-BCUR Photo competition form. Please note that delegates cannot take pictures of ongoing panels or presentations. After the conference, the team will award a prize for the Best Delegate Photo of WorldCUR-BCUR 2023, and curate a virtual gallery of all submitted pictures for delegates to enjoy!
  • What tech support is available on the day?
    • All rooms have a touch screen computer, microphones and a data project or. If you are delivering a spoken presentation, please note that you cannot use a USB on the day. We will shortly be sending you an email with guidance on who to send your presentations to (so we can download them and have it ready on our IT systems on the day) and the deadline to do so.
    How many people am I going to be presenting to?
    • If you are presenting at BCUR, the largest room we have booked can accommodate 100 people at a tim e, although this may vary on the day, depending on what else is going on at the same time during the day.
    I am delivering a non-traditional presentation. What support can I get to prepare myself?
    • If you have chosen to present in a format other than spoken/poster, and need additional guidance or support, get in touch to discuss the specifics with our team at worldcur@warwick.ac.uk - we'd be more than happy to help!
  • Where will the joint WorldCUR-BCUR 2023 conferences take place?

    The University of Warwick is hosting both WorldCUR 2023 & BCUR 2023 in a joint conference. The University of Warwick is located close to the city of Coventry, UK, and is easily accessible from across the UK, and the world. Further details can be found on our location page.

    Will attendance at WorldCUR-BCUR 2023 be in person?

    We are proud to announce that WorldCUR-BCUR will be held in person at the University of Warwick campus to provide all the multisensory and social benefits of an in-person conference. We will be utilising a range of resources to enhance accessibility and inclusivity, and we have the infrastructure to upscale these should unexpected events supersede planning.

    How will the distinct conferences be brought together and distinguished at the joint event? 

    The individual conferences will be held in separate on-campus venues in close proximity to each other. The conferences will be brought together for Keynote speakers and ceremonies, in additional to social events. However, each conference will maintain its individual qualities and this diversity will be celebrated. 

    The joining of WorldCUR & BCUR allows us to bring together this ground-breaking global undergraduate research event with the UK’s largest undergraduate conference. Attendees are given the opportunity to interact across the event and to celebrate undergraduate research in all its strength and diversity.  

    I am not an undergraduate student. Can I attend WorldCUR-BCUR 2023?

    We welcome everyone who is interested in undergraduate research to attend WorldCUR-BCUR 2023. Only undergraduate students and Faculty & Administrators supporting undergraduate research can present during the conference, but attendance is open to all.

    Does the delegate fee include catering?

    Yes, the delegate fee will include morning & afternoon snack (tea/coffee & biscuit/cakes) and lunch (cold buffet).

    Does the delegate fee include the conference gala dinner?

    No – the Gala Dinner fee is charged separately at £42.50 (student rate) and £60 (staff/faculty rate).

    If you would like to attend the Gala Dinner but you did not choose this option when registering, this will be available as an optional add-on at a later date. Please keep checking back for further information.

    I require reasonable adjustments on disability or other grounds to enable my access to WorldCUR-BCUR, how can I request these?

    The University of Warwick is committed to supporting inclusion and diversity. We will be able to provide reasonable adjustments to meet individual needs to enable and facilitate access to WorldCUR-BCUR.

    Will I need a UK Visa to attend WorldCUR-BCUR?

    Your individual circumstances will determine if you are required to apply for a visa to attend WorldCUR-BCUR. You can determine your immigration criteria here.

    Official invitation letters to WorldCUR-BCUR will be issued upon request to support visa applications.

    Where can attendees stay during WorldCUR-BCUR?

    Accommodation is available on the University of Warwick’s self-contained campus – reserve your bed and breakfast ensuite room here: WorldCUR and BCUR 2023 - Accommodation - Welcome (warwick.ac.uk). University accommodations are a short walk from the conference venues and other campus amenities.

    What payment options are available to pay for on-campus accommodation with Warwick Conferences?

    You can only make payment for on-campus accommodation with a credit/debit card.

    Warwick Conferences is not able to accept Purchase Orders, cash, or alternative online payment methods such as PayPal.

    What facilities are available on campus?

    Food and Drink

    All meals are provided in Rootes Restaurant located on the first floor of the Rootes Building for all delegates (unless your programme indicates otherwise).

    The restaurant offers breakfast, lunch and dinner including a range of hot and cold drinks. Please present your conference badge or bedroom key to gain access to the restaurant.

    Please inform your event organiser prior to your arrival if you have a specific food allergy or a lifestyle dietary requirement (for example vegan, vegetarian, halal or kosher).

    Bar facilities are located on the first floor of the Rootes Building and is the ideal place to network and relax after a day’s session. There are alternative bars on campus; please see here or ask at Conference Reception for details.

    Shops and Cafés on Central Campus

    There is a cash machine outside Rootes Grocery Store. Please note that all outlets on campus are cashless.

    There is a Sport and Wellness Hub on campus with extensive facilities including gym, swimming pool and climbing centre, further details can be found here.

    The University of Warwick campus has extensive grounds including lakes and bluebell woodland, in addition of sculptures situated across the campus, there are a range of different trails to explore the grounds, artwork and history, further details can be found here.  

    How can I travel to the University of Warwick?

    How can I travel to the University of Warwick campus using local public transport?

    There are a range of local bus services which travel directly to the University of Warwick, including from Coventry Railway Station (a hub for national and international travel), further information can be found here.

    Are parking facilities available for the WorldCUR-BCUR?

    Yes, car parking is available on central campus close to the conference venues and is free for conference delegates. If you require car parking you will be issued with a WorldCUR-BCUR 2023 conference promo code to use on the online payment system to register your car. Further details be found here.

    Are visitors able to pre-book parking?

    Yes, you can pre-book parking here.

    Parking can be registered on the day of attendance, however we advise delegates to pre-book their parking in advance.

    I drive an electric car. Are there charging points?

    Yes, there are electrical charging points across campus. Further details can be found here.

    I am staying in on-campus accommodation during WorldCUR-BCUR. Do have to pay additionally for parking?

    No, if you are staying in on-campus accommodation during the conference then your parking is included. Further details can be found here.

    What are the UK COVID-19 rules and guidelines?
