Facilities for Postgraduate Students and Health & Safety Matters



The Mathematics Institute building is located on the main campus next to the Computer Science building. The following notes, which deal with practical, ‘housekeeping’ information about the building and its facilities, may be useful. If you can’t find the information you need, ask one of the following staff:

The main front doors are open between 8 am - 8 pm (Monday-Friday). Staff and students can enter the Department on any floor by using their ID card (at any time including evenings and weekends). The main door to the Department on the ground and third floor will be open access from 8 am - 6:00 pm. Lifts are available for all floors. Students should not let anyone into the building out of hours. Those who have authorised access will have a card. If you stay in the building until after 7 pm and have forgotten your card you can still exit by pushing the press-to-exit button next to the doors. If you require access to the Statistics Department please contact them directly.

Accident Report Forms

If you are involved in or observe a potentially dangerous occurrence or incident, either in the Institute or involving equipment owned by the Institute, you must report this whether or not anyone was injured. A form may be obtained from the General Office. Return completed forms to the Departmental Safety Officer. You must also complete an entry in an Accident Book, held in the General Office.



There are cycle racks outside the building for your bike, please do NOT bring bicycles into the building. A good lock is a necessity.


Children should not be brought into the Institute routinely. Anyone bringing a child into the Institute is responsible for that child’s safety whilst he/she is on the premises. Please be extra vigilant in the Common Room and the Street where there are balconies.


The postgraduate access rooms are A0.01 and B2.04. You will need to use your student ID card to enter these rooms.


Postgraduate students are encouraged to attend conferences subject to the approval of their supervisor. DTA funded students have an overall total of £1,100 for travel and conference fees as part of their EPSRC DTA support, throughout their period of study. The Department will provide equal support for other students who have no government or sponsor support. After discussing conference attendance with their supervisor, students should email the finance officer with the approximate cost and dates of the conference, copying in the supervisor. This must be done in advance of any bookings. Postgraduate students are not automatically covered by the University's travel insurance. Please check with the finance office in advance of the travel.


PhD students are assigned a workspace (with desk, lockable cupboard and shelving) for their registration period. Workspace availability is limited and there is little scope for changing desks. Please do not move to another desk without consulting the Postgraduate Coordinator. Keys for the cupboards are available from the General Office in return for a deposit of £10 (returnable when you leave).

MSc students can "Hot Desk" in a shared workroom with access by key code ( code available from Debbie in B0.08) over the summer vacation period. They also have the option of a locker in which to store books etc on payment of a refundable £10 deposit.

Please keep the area around your desk tidy and safe.


Disabled Institute members

Access to the Institute is via the front or back doors. Lifts are available to all floors but a card is needed for floors 1 and 2. Disabled parking is at the side of the building.

Electrical Equipment

All portable electrical equipment brought into the Institute should be checked before it is used (contact the General Office to make arrangements).


Report faults in your room (radiator or lights not working, broken furniture etc) or problems with teaching equipment to the General Office (B0.01). Serious faults out of hours (power or door locking failures) should be reported to the main Security Lodge (22083).

Fire safety

At the sound of a continuous alarm leave by the nearest exit. The fire assembly point is Car Park 15 (multi-storey across the service road and at the back of the building, computer science etc). Do not re-enter the building until TOLD it is safe to do so. The fire alarm is tested each Monday morning around 8am and evacuation is not necessary at that time if the alarm stops after a short time.

First Aid

Contact details of the first aiders are available from the Undergraduate Office and on the Health & Safety noticeboard in the Common Room. First aid kits are kept in the General Office. If an accident occurs outside normal office hours telephone the main Security Lodge on 22083. For all emergencies that require the Fire, Police or Ambulance services please contact the Security Lodge on 22222 (emergencies only) so that prompt access to the building can be provided. Otherwise you may ring 999 directly but please let the Security Lodge know so they may direct the service to the building.If you do have an accident please ensure that you complete an accident form.

The University is not insured for theft of, or damage to, your personal property while you are on University premises so if you bring a personal (i.e. owned by you) laptop with you, you should take out insurance for it. The University is insured for accidental personal injury to staff, students and visitors while they are on University premises, but only where the accident was due to fault on the University’s part. Postgraduate students are not automatically covered by the University's travel insurance. Please check with the finance office in advance of travel.Contact the Finance and Research Grants Coordinator for an insurance card and a copy of the form (which must be completed and submitted at least two weeks in advance of travel).


The Mathematics Institute Library is located on the first floor. Access is also possible on the second floor from the balcony of the Common Room. You will need to use your card to access the library. Please see separate information sheet.


Please make sure that you register with a Doctor, either on Campus or locally. In the event of you needing emergency medical care complications can arise if you are not registered.


The copiers are located in B0.04 (access code is available from the General Office). Photocopying Cards are available from the General Office. Any problems should be reported to the General Office.


Postgraduate pigeon holes are located on the first floor, adjacent to the MRC. They are grouped by course and alphabetically. If you cannot find your pigeon hole please ask the PG coordinator in B0.08 for assistance.

Staff/Graduate Common Room & Kitchen

This is located on the first floor with a gallery area on the second floor.

The kitchen is next to the Common Room where tea and coffee are available for you to make at any time. Payment for this is via a slot in the cupboard by the door. Students can use the microwaves and public fridge but please be sensible about what you put in it and do not leave food to go off. Students are requested not to cook or heat meals with strong smells. Staff and students store their own food in the public fridge and cupboard – please do not help yourself, the word “public” refers to the cupboard and fridge not the contents! Please leave the kitchen clean and tidy and wash any crockery/cutlery that you use.Please be warned that contents of the fridge go missing on a regular basis.



Smoking is not allowed in any area of the building or on outside balconies.

It is important that all members of the Institute observe safe working practices and inform the DSO if they see anything giving cause for concern. A health and safety noticeboard is in the kitchen.


Showers are located in the ground floor toilets of the Mathematics Building.


Standard stationery items are available in the General Office. Please ask the staff rather than helping yourself

Tea and Coffee

Morning coffee is served each weekday in the Common Room from 10:00-11:15.

Afternoon tea is served each weekday in the Common Room from 3:00-4:15.

Coffee costs 50p per cup, Tea is 50p per cup and biscuits are 05p each.

Teaching Opportunities

The Department regards teaching as a valuable part of the training of postgraduate students and specific training for teaching is provided.


Graduate students provide a supervision system for the first and second year undergraduates. Students are seen in groups and go through problems and problem sheets. The supervision system is managed by Dr Dave Wood, Director of Undergraduate Studies.

Support Classes

Support classes are offered for most core second year courses and some non-core second year courses. They typically run once per week or fortnight and involve up to 30 students. Duties involve going through examples at the board or offering help to students working in groups. Some modules have marking. The exact details are organised by the lecturer and Dr Dave Wood, Director of Undergraduate Studies.
