Enable Warwick Guest Access

This guide explains how Warwick Guest Access can be enabled and how participants can gain access to a Moodle space via the enrolment method.

Moodle provides multiple enrolment methods that can be used to provide participants with access to Moodle spaces. With Guest access enabled, Users can search for the Moodle space or access it via a link. It’s important to note, users accessing a space with this method are not enrolled on the space and it will not appear on their dashboard. Warwick Guest access also provides options to limit by department or participant type.

Guest access allows users to view content in a Moodle space. It does not allow a guest to participate in any of the activities, e.g. contribute to a forum discussion.

Enable Warwick Guest Access

  1. Access the Moodle space for which you want to set up Guest Access enrolment method.
  2. Click on the burger icon to open the Navigation Drawer if not already open.
  3. Select Participants to open the participants' list.
  4. Click on the gear icon to open the action menu.
  5. Select Enrolment methods.
  6. From the drop-down Add method select Warwick Guest access.
  7. If required, you can change the following settings:
    • Password – if set, it will restrict Warwick Guest access to those who know the password.
    • To allow access by any user, do not select a designation or department. To apply restrictions:
      • By type of user, for example, undergraduate students only, select the designation(s) from the 'Available Designations’ list and click Add.
      • By department, select the department(s) from the ‘Available Departments’ list and click Add.
  8. Click the Add method bottom at the bottom of the page.
You can select multiple designations and departments at a time. For example, you could allow undergraduates and postgraduates from Maths and Statistics to guest access a module space.

Edit Warwick Guest Access

  1. Click on the burger icon to open the Navigation Drawer if not already open.
  2. Select Participants to open the participants' list.
  3. Click on the gear icon to open the action menu.
  4. Select Enrolment methods.
  5. Click on the gear icon next to the Warwick Guest access method to edit.
  6. Make the desired changes.
  7. Click Save changes.

Disable/Enable Warwick Guest Access

  1. Click on the burger icon to open the Navigation Drawer if not already open.
  2. Select Participants to open the participants' list.
  3. Click on the gear icon to open the action menu.
  4. Select Enrolment methods.
  5. Click on the eye icon next to the Warwick guest access method to disable/enable. The eye icon indicates that the enrolment method is enabled. If the eye icon is crossed out , the enrolment method is disabled.

Delete Warwick Guest Access

  1. Click on the burger icon to open the Navigation Drawer if not already open.
  2. Select ‘Participants’ to open the participants list.
  3. Click on the gear icon to open the action menu.
  4. Select Enrolment methods.
  5. Click on the bin icon next to the Warwick Guest access to delete.
  6. Click on Continue to confirm the deletion of the Warwick Guest access method.

How do users access a Moodle space with Warwick Guest access enabled?

With Warwick Guest access enabled, users can enroll on to a Moodle space with this method by:

  • Accessing the space via a URL that has been shared with them.
  • Searching for the space in Moodle, using the module code or (part of) the title in the search box in the top right corner.
