New first year postgraduate applicants

Please read the information below if you are a new first year postgraduate applicant who will be studying for a full time, full year higher degree (taught or research) commencing between September 2016 and June 2017.

The 31 July deadline for accommodation applications has passed. If you apply after the deadline, it is highly unlikely that we will be able to offer you a room as our accommodation is in very high demand. We will still accept applications on a first come, first served basis. We can provide you with information about looking for accommodation in the private sector: Private Accommodation. Applicants applying for accommodation from 1 August will not be eligible for campus accommodation unless supported on medical / disability grounds.

Key dates

Late May 2016 - application forms available online.

31 July 2016 - deadline for applying for a room on campus and deadline for priority allocations.

1 August 2016 onwards - applications received on or after this date are dealt with on a first come, first served basis.

August/September 2016 - offers of accommodation are emailed to successful applicants.

Eligibility to apply

To be eligible to apply for accommodation for an individual, you must be a new student with a conditional or unconditional offer for a full time postgraduate course. If you have been a postgraduate student at the University of Warwick in a previous academic year, then you are not eligible to apply.

  • Applications for single rooms received on or before 31 July 2016 are not processed on a first come, first served basis.
  • You will only be considered for a campus room if you apply for accommodation on or before 31 July 2016.
  • Priority for campus accommodation is given to overseas fee paying students (as stated in your University offer letter) who apply for accommodation on or before 31 July 2016.
  • You will be prioritised for University managed accommodation or a referral to Liberty Park or Study Inn if you submit your accommodation application on or before 31 July 2016.
  • If you apply after 31 July 2016, then you are not eligible for campus accommodation. Your application will be processed on a first come, first served basis so the later you apply, the less chance you have of getting an offer.

Accommodation options

If you are applying for accommodation for an individual, we have a variety of accommodation on and off campus to meet a range of budgets and needs. We are not able to accommodate all postgraduate students on campus, so you must include some off campus options in your preferences.

Applicants applying for accommodation from 1 August will not be eligible for campus accommodation unless supported on medical / disability grounds.

Your Warwick Student ID Number is seven digits - do not put 'u' before your ID number.

The information that you use to register for an account must exactly match the information on your course application.

You cannot register until you have a conditional or unconditional course offer. It can take up to 48 hours for course offers to update on our IT system. Please be patient and wait at least 48 hours before trying to register.

Your accommodation record displays your official name in the following order: first name, one middle name and your family name. If you have more than one middle name, only the first middle name will appear.

It is essential to provide an email address that is accessible to you from May through to October 2016.

If you are using an agency to apply for accommodation, please ensure that it registers your personal email address as all correspondence about your application will be sent to that address. To change your email address, please contact accommodation@warwick.ac.uk.

Accommodation preferences Preferences

If you apply for accommodation after the 31 July deadline, it is highly unlikely that we will offer you a room as our accommodation is in very high demand. Applications made after that date are accepted on a first-come, first-served basis.

Applicants applying for accommodation from 1 August will not be eligible for campus accommodation unless supported on medical / disability grounds.

If you are applying for accommodation for one person, you must give a minimum of seven preferences. Please read the information above about your options.

  Give permission for your name and contact details to be passed to Liberty Living and Study Inn

If you are allocated to Liberty Park or Study Inn, we need to give them your contact details so they can email you an offer and enable you to accept a contract.

If you do not give permission to share your contact details, your allocation will be delayed so you may not get an offer before term starts.

  Off campus accommodation price bands

Consider how much rent you can afford to pay. There may be limited accommodation available in some price bands.

Most University managed off campus properties do not include bills such as gas, electricity, water or broadband.

In Study Inn and Liberty Park (which tend to be the higher price bands) utilities and other services are included.

Select the weekly rent band that you can afford.

  Family/couple accommodation State if you require family or couple accommodation. (Couple accommodation is only available to overseas postgraduates). If you require family accommodation, please state the number of adults and the age and gender of each child.
  Single-sex area Stating a preference for a single-sex area is not a guarantee that you will be placed in one. Most campus residences are mixed sex, but some have single-sex flats or corridors. Most off campus properties are mixed sex, but sometimes we are able to allocate a small number as single-sex.
  Quiet area Within all halls there are quieter and less quiet areas. Some properties off campus will also be quieter than others. The answer to this question will only be considered once you have been allocated accommodation. Please note that all halls of residence need to be quiet after midnight.
Medical/Disability Information Please give details of any disability or medical conditions which will affect the type of accommodation you require.

If you have a medical condition that affects your accommodation needs, as soon as you have completed your accommodation application you MUST supply written medical evidence such as a letter or report from your own doctor which is dated within the last 3 months along with a cover letter for assessment. Applicants who are supported on medical/disability grounds for a certain type of accommodation or for a particular location will be prioritised for an offer if and when a suitable room becomes available.

Brief description of yourself Please provide us with details about your interests, your character (lively/quiet), what time you generally go to bed and any likes and dislikes. This information helps us to group you with other applicants if you are allocated to University managed accommodation, so the more information you provide the better able we are to group you with people like you. Please note that we do not look at this information until after you have been allocated to accommodation.
  • Before you submit your application form, please check the information carefully as you will not be able to amend the form online. Remember that if you apply before 31 July 2016, your application will not be dealt with on a first come, first served basis (unless you are applying for couple or family accommodation), so there is no need to rush to apply. Click the Confirm button only when you are absolutely sure.
  • On receipt of your form we send you an automated confirmation email. If you do not receive the email within 48 hours, please contact accommodation@warwick.ac.uk to check that we have received your application.
  • The information that you provide in your application form will be used for all lawful purposes in connection with your accommodation and in accordance with the Data Protection Act 1998. The information will only be shared with relevant departments within the University of Warwick.

How we allocate

  • If you apply for accommodation on or before 31 July 2016, your application will be entered into a random computer ballot to decide which accommodation we can offer you. This will be based on your accommodation preferences.
  • We will try to offer you one of your preferences, but we cannot guarantee this. Your offer may be for accommodation that is not one of your preferences or not one of our campus or off campus advertised residences.
  • If you are supported on medical/disability grounds for a certain type of accommodation or for a particular location, you will be prioritised for an offer if and when a suitable room becomes available.
  • If you are allocated to a campus hall, we then pass your application form to the Residential Life Team who read all the information you have provided to assign you to a room and decide who to group you together with within the hall.
  • Many applicants for campus accommodation will not be offered a campus room due to lack of availability. In this situation, we will offer you an off campus room or refer you to Study Inn or Liberty Park, subject to availability.
  • Off campus allocations to University managed accommodation are made by our team who will take account of the information you have provided to help us to place you in a suitable property with other students.
  • If you are allocated to Study Inn or Liberty Park, your contact details will be passed to their management team as long as you have provided us with your permission and they will then contact you to arrange acceptance of their contract.

Offer information

  • Offers are sent by email so make sure that you provide a valid email address which you will have access to from May through to October 2016. Please inform us immediately if your email address changes.
  • It is important that you put the following email addresses into your email address book so that our emails do not end up in your junk mail/spam folder: accommodation@warwick.ac.uk.
  • We will only make you one offer. You have seven days in which to accept your offer online.
  • Your online accommodation offer contains the following information: name and address of residence, type of room allocated, accommodation fees and instalment information, and tenancy dates.
  • Campus offers will not include your room number. Your room number will be confirmed on arrival. Any address forms requested by the University can be completed and returned without room information.
  • If you are not happy with your University managed accommodation offer, you have two options: You can accept the offer and apply on the transfer list from Monday, 17 October 2016, or you can reject the offer. Please be aware however that if you do reject it, you will not be made another offer and therefore we advise that you look at the accommodation options available in the private sector before you do reject, so you do not run the risk of being left without accommodation.
  • All payments of accommodation fees are made to the Student Finance Team. Details of how and when to pay can be found at: Student Finance.
    Payments for Study Inn and Liberty Park are made directly to them.

Information for parents, relatives and agencies

We appreciate that parents and other relatives of our applicants are concerned about their welfare. We are always happy to answer general enquiries and provide information, but in the interests of protecting privacy and adhering to the Data Protection Act, we are unable to discuss individuals without their prior written permission.

If your son or daughter does not get a place in their preferred residence, we urge you to encourage them to be positive.
