Getting the most out of your virtual event

Planning your session

  • Be interactive!
    Q&A on camera, polls and quizzes, invite conversation and discussion.
  • Organised moderation.
    Make sure you have Moderators to run the chat who can feed Speakers key information. Make sure everyone is clear on their role.
  • Don't over plan.
    Scripted or overly-organised sessions hinder engagement and the chance to respond to questions throughout.
  • Have a practice run.
    Make sure everyone knows what to expect of session and is familiar with Bizzabo. Training material can be found here.
  • Report any issues.
    If you're having trouble with the platform, please email as early as possible so we can help resolve them before your live session.

Running the session

  • Record your session.
    If you want your session to appear as an on-demand video after the event, don't forget to press record.
  • Don't panic!
    Not everything will always run smoothly, but don't worry. We've all faced technical difficulties and interruptions. For technical issues, see our Troubleshooting page.
  • Be clear and visible.
    Turn on your camera while you're waiting, speak clearly, position yourself well and in good lighting.
  • Introduce the session.
    Breakdown the session structure: a warm welcome, what to expect, when questions can be asked.
  • Keep an eye on the chat.
    The chat automatically scrolls to the bottom, so by removing the other boxes by selecting the on the menu (eg. participants and notes) you can see more. Participants can also ask 1:1 chats.

Using Videos

  • When you press play...
    On a playlist video, it'll play for all participants. If you pause it, it will pause for everyone.
  • Videos might buffer.
    Participants will have to stream any videos, so monitor the chat to see if anyone is having issues. Slow internet might result in everyone viewing videos at different speeds.
  • Mute your microphone.
    To prevent video feedback, it's good practice to mute yourself.
  • Don't leave and join the session.
    Videos can be affected by speakers/moderators/admins leaving the session. Please remain in the session instead of popping in and out.
