Using file storage

Introduction

Every member of staff and student has a private area on the server to save documents and other files, as well as access to a shared departmental area. This article will guide you through accessing and using these file storage options to ensure the security and accessibility of your important documents.

File storage options

Every member of staff has a place to store files on a central file server. This is mapped to each user as drive H: (Home) and is your own private area on the server to be used to save documents and other files. Your department will also have a shared area, where documents can be accessed by anyone with the right permissions. This is usually referred to as the M: drive.

Students only have access to an H: drive.

The file servers where the H: and M: drives are stored get backed up each night, so that in the event of any corruption or hardware failure a copy of the file can be retrieved.

How to access the file storage on University of Warwick managed computers

Personal file storage

  • Accessed via the H: drive, located in This PC
  • This connection is made automatically each time you login.
  • If you are working off campus, you must be connected to the VPN to be able to access and sync these folders.

Shared file storage

  • Department shared drives, storage now & high-capacity file store can be accessed via your M: Drive, in This PC
  • This connection is made automatically each time you login.
  • If you are working off campus, you must be connected to the VPN to be able to access and sync these folders.

How to access the file storage using MyFiles Web

MyFiles Web gives you remote access to your H Drive and M Drive folders from wherever you are from within a web browser.

  • Use your browser and connect to https://myfiles.warwick.ac.uk
  • Enter your University of Warwick usercode and password to connect.
  • Once logged in, the left-hand pane shows the available folders, and the right-hand pane shows the files and folders within the folder which is currently selected.
  • Downloading a file is simply a matter of right-clicking it and selecting Download from the context menu. To download a folder, instead select Compress and download and the folder will be compressed to a single .zip file before being downloaded from the server.
  • The easiest way to upload a file is simply to use MyFiles to go to the folder where you want to place the file, drag it from your desktop file manager and drop it over the right-hand pane of MyFiles.
  • To work on a file, it must be downloaded first and then re-uploaded to overwrite the previous version.

How much storage each drive has

H: drive

All staff and students have an initial H: drive quota size of 1GB.

Each morning our systems scan for H Drives that are low on space. If the quota is under 30GB, it will be automatically increased by 1GB and an email will let you know this has happened.

We are unable to increase the H:Drive quote above 30GB. If you require additional space, you can request a StorageNow Fileshare.

M: drive

IDG monitors shared drive space using automated reports that run each morning. It is still possible however for a department to fill their shared drive. Our primary goal is to ensure your department can continue to work, and we can usually increase quota instantly - however we do ask that you should first remove unwanted, duplicate, or personal files (such as music or photos).
