Changed timing of IT Services Managed Desktop software updates process for laptops

A change is taking place to the IT Services Managed Desktop to the timing of Microsoft updates. This change has been piloted with IT Services staff and will be applied to the staff running our desktop from a laptop. Check if you are running an IT Services Managed Desktop?

Microsoft updates (minor changes or patches to an existing version) will no longer be applied in the Thursday night maintenance window. Instead, updates will come directly from Microsoft and:

  • will be ready to install seven days after Microsoft releases them, as this is Microsoft's recommended best practice
  • technical staff who run or own applications can receive the updates early, two days after Microsoft has released them. This change allows them to test their applications before general release. Interested staff, please contact the IT Services Helpdesk to request earlier updates for testing

We will be upgrading to the latest version of Windows 10 with associated upgrades. Future upgrades (major changes or moves to a new version) will always happen 180 days after the Microsoft release.

Users of the IT Services managed desktop should continue to connect to the campus VPN every week.

Working securely: Umbrella site checker enhancement

We are adding a layer of security protection to all University-managed devices by deploying a security product called Cisco Umbrella. The new functionality will be added to Managed Desktops on the 27th of July 2020. The software checks for malicious websites and warns you of potential threats before you open a link. Connect to the Campus VPN following the 27th to automatically install the software and benefit from the increased security protection.

Initially, we will deploy this product to users of IT Services-managed devices but intend to roll it out to all University devices over time.

Working Securely: Self-managed devices to be enrolled in a Device Security Service

As you know we have committed to a University-wide Security and Information Management programme of work - which has been described in a series of posts on insite:

The next step involves enrolling staff working on university-owned self-managed devices in a Device Security Service. If that's you, please check insite for more detailed instructions, which we will share this Friday.

A small handful of staff may get a direct email this week from IT Services with instructions tailored specifically for them because their devices are configured differently.

Online payment maintenance, Thu 9 Jul 2020, 10:30-11am

On Thursday 9th July 2020, we need to do essential maintenance to the online payment system. This work requires us to take online payments offline from 10:30 to 11am. We will be unable to accept online payments during this time. Admins will be unable to view transactions or give refunds during maintenance. Advice for customers who contact the University is to try again after 11:00. Customers attempting to use online payments will see a Service is unavailable message.

Working securely: Splitting the email address book

We have split the University email address book so that staff and student names are listed separately. This is especially important if you regularly communicate with a mixture of staff and students. It will make our email communication more secure.

In future, we will all need to consult two address books rather than one.

DNS/DHCP migration: Advice for staff who use RDP

This is a reminder that we expect the migration of DNS/DHCP to go ahead on Wednesday the 24th June 2020 between 18:00 and 22:00.

IP address ranges SHOULD NOT change. As an extra precaution, however, we suggest the advice below is followed by any staff who make use of Remote Desktop Protocol (RDP) to access a remote machine using its IP address. Please can technical staff pass this message onto colleagues who may be using RDP?

Please ask them to make a note of their machine's hostname, before the migration starts. If they know the remote hostname, they will be able to use this instead of IP address to use RDP to connect remotely.
