A

APC

Article processing charge - charge paid by author, funding body, employer to either a hybrid journal to allow article to be fully open on publication or to an open access journal for same purpose.

arXiv

arXiv (pronounced "archive") is a repository of electronic preprints, known as e-prints, of scientific papers in the fields of mathematics, physics, astronomy, computer science, quantitative biology, statistics, and quantitative finance, which can be accessed online. In many fields of mathematics and physics, almost all scientific papers are self-archived on the arXiv.

Acceptance

The date of the e-mail confirming acceptance of a paper for publication. It is within 3 months of this date that a copy should be deposited in WRAP and/or subject repository.

Accepted version

Accepted author’s manuscript (AAM) also known as the authors version, ‘clean’ version, post-print or author’s final manuscript. The version after peer-review changes but before copy editing and formatting by the publisher.

Accessible

Different from discoverable. Accessible in open access terms means not behind a paywall and able to download the pdf or document immediately upon finding.

COAF

A two year pilot fund set up by following:- Arthritis Research UK, Breast Cancer Campaign, British Heart Foundation, Cancer Research UK, Lymphoma & Leukaemia Research, Wellcome Trust.

Copyright transfer agreement (CTA)

This is a legal document containing provisions for the conveyance of full or partial copyright from the rights owner to another party such as from an author to the publisher.

Creative Commons Licence

A set of copyright licences now on fourth iteration designed so everyone from individual creators to large companies and institutions have a simple, standardised way to grant copyright permissions to their creative work.

So a creator can retain copyright while allowing others to copy, distribute, and make some uses of their work - at least non-commercially. Every Creative Commons license also ensures licensors get the credit they deserve for their work. Every Creative Commons license works around the world and lasts as long as applicable copyright lasts (because they are built on copyright).

CC-BY

The creative commons licence:

Attribution. This license lets others distribute,remix, tweak, and build upon your work, even commercially, as long as they credit you for the original creation. This is the most accommodating of licenses offered. Recommended for maximum dissemination and use of licensed materials.

This is the licence that RCUK and COAF funds require.

HEFCE do not require a specific license but it should be at least CC BY-NC-ND – Creative Commons Non-Commercial-Non-Derivative:

CC BY-NC-ND

The most restrictive creative commons licence allowing others to download your works and share them with others as long as they credit you, but they can’t change them in any way or use them commercially. A minimum requirement for HEFCE open access policy.

DOAJ

Directory of Open Access Journals. A comprehensive database of over 5000 open access journals.

Discoverable

The ability to find an article. Depositing in a repository with the appropriate metadata will result in an article becoming more discoverable. This is not the same as accessible.

DOI

The Digital Object Identifier. (DOI®) System is for identifying content objects in the digital environment. The DOI provides a permanent url for any document. (Prefix DOI with https://dx.doi.org/)

Embargo

The period where access to an article in a repository is restricted usually due to publisher self-archiving policies. Time limits differ between journals and also for funders. It is essential to check when depositing in a repository.

e-repositories team

Widely known as the WRAP team, who assist in the day to day running of Warwick’s institutional repository WRAP.

Exclusive License Form (ELF)

Exclusive Licence Form. Used by a number of publishers. A legal form whereby an author transfers copyright of a particular work to a publisher.

Eprints

Eprints is the software used for archiving our digital material developed and maintained by Southampton University.

EThOS

Electronic Theses Online Service (EThOS) is the UK’s national thesis service run and maintained by the British Library. It aims to maximise the visibility and availability of the UK’s doctoral research theses. It has over 350,000 doctoral theses.

Funding

Funding at present comes from RCUK block grant and the new COAF grant.

G

Green

Open access publishing via another body or by the author themselves. Sometimes, therefore, known as self- archiving.Usually in a subject or institutional repository. There is no additional cost for this but there will be embargoes on the journal; a waiting period before being available.

Gold

Effectively open access publishing by the publishers themselves. Papers immediately freely available on publication. Specific journal may be an open access journal or a hybrid an Article Processing Charge may apply.

Higher Education Funding Council for England (HEFCE)

The Higher Education Funding Council for England promotes and funds high quality, cost-effective teaching and research, meeting the diverse needs of students, the economy and society.

Hefce open access policy has been published.

I

Impact factor

The impact factor (IF) of an academic journal is a measure reflecting the average number of citations to recent articles published in the journal.

Institutional repository (IR)

(IR) is an online archive for collecting, preserving, and disseminating digital copies of the intellectual output of an institution, particularly a research institution.

ISBN/ISSN

International Standard Book number and International Standard Serial number. Unique numbers used to identify books or serial publications. Helps identify unique output, especially for searching by computer.

Journals

A newspaper or magazine that deals with a particular subject or professional activity.

O

Open Access

Removes price barriers (subscriptions, licensing fees, pay-per-view fees) and permission barriers (most copyright and licensing restrictions). The PLoS shorthand definition —"free availability and unrestricted use"— succinctly captures both elements.

P

Publications service

Part of WRAP, University of Warwick’s institutional repository that records scholarly outputs by Warwick academic staff and for copyright or other reasons cannot have the full text.

Policy

A course or principle of action adopted or proposed by an organisation or individual.

R

Research Excellence Framework (REF)

The Research Excellence Framework (REF) is the system for assessing the quality of research in UK higher education institutions (HEIs). It replaced the Research Assessment Exercise (RAE) and will be completed in 2014, 2021 and 2027.

Research Councils UK (RCUK)

Each year the Research Councils invest around £3 billion in research funding covering the full spectrum of academic disciplines from the medical and biological sciences to astronomy, physics, chemistry and engineering, social sciences, economics, environmental sciences and the arts and humanities. The funding bodies are:

  • AHRC - Arts and Humanities Research Council
  • BBSRC Biotech and Biological Sciences Research Council
  • EPSRC - Engineering and Physical Sciences Research Council
  • ESRC - Economic and Social
  • MRC - Medical Research Council
  • NERC - Natural Environment Research Council
  • STFC - Science and Technologies Facilities Council
  • RCUK have given block grants to Institutions fund open access publishing

Subject repositories

(Or disciplinary repository) An online archive containing scholarly outputs in a particular area. Examples include, arXiv (Physics), SSRN (Social Science and RePEc (Economics).

Self-archiving

The process where an academic deposits their scholarly output in an online repository such as WRAP.

SHERPA services

Based at the University of Nottingham. They are developing open-access institutional repositories in universities to facilitate the rapid and efficient worldwide dissemination of research. SHERPA services include Romeo, Juliet and SHERPA Fact.

Submitted version

Also known as ‘pre-print’ or ‘author’s original’. A version of an academic article submitted to a journal before acceptance and peer review.

Text mining

Text mining, sometimes referred to “text analytics” is one way to make qualitative or “unstructured” data usable by a computer, for example the breakdown of a photograph into pixils, which can be measured.

VoR (Version of Record

Published formatted version of a journal article or online book chapter.

W

Working paper

Technical or scientific papers circulated by academics to share ideas before submission to conferences or journals.

WRAP

Warwick Research Archive Portal (WRAP) is University of Warwick’s institutional repository holding open access full text items wherever possible.

Wellcome Trust

An independent charity funding research to improve human and animal health.
