"Double Booking" FAQs

  • The timetabling system doesn't allow double bookings so if two groups think they are both scheduled into the same room there is always a reason, eg one group may be referring to an out of date departmental published timetable rather than the online teaching timetable which is the central system that all should be referring to (Timetable Reporting System).
  • In order to solve the problem, the first thing to do if there is someone else using a room you believe that you have booked is to contact the Central Timetabling team. This can be done either by calling 02476 522787 (Dan) or e-mailing room.bookings@warwick.ac.uk. More details can be found on our "Contact the Team" page here.
  • If you cannot immediately get in touch with a team member, then there are a number of computer-based methods to check your room bookings, via the Timetable Reporting System, which can be accessed here: Timetable Reporting System. There are a number of reports available to display bookings by department, and by room.
  • First, click on "Activities" in the left-hand side bar.
  • Select your department from the drop-down menu, and click "Display Activities". Please note the majority of WMS bookings are under "WMS - Education and Development" (MD) and the majority of University House departments are under "University House" (UNIV).
  • Scrlol down the list of displayed activities until you have found your booking (the lists are in alphabetical order, descending). All adhoc bookings are prefixed with "X", and scheduled bookings have the day/start time/finish time displayed, unscheduled/cancelled bookings do not.
  • If the details of your booking as displayed to the right of your booking reference match what you expect, click on "Locations" in the left-hand side bar. This page is used for displaying timetables for specific rooms in a selected time period.
  • From the drop-down menus, select the room and week you want to view the timetable for. This will display the room timetable for the time period specified.
  • If your booking is scheduled as you expect, then please request that the group using your room contact the Central Timetabling team so that we may find them another room/find the room they do have booked.
  • If your booking is not in as you expect, then please contact the team so that we may find you another room.
  • It is advisable to print off your confirmation email and bring it with you to every session you have booked, as proof that you have reserved that room.
