Surveying the Rooms

How often do I need to check the rooms?

Each room on your circuit should be checked once every hour. Do not check rooms between 10 minutes to and 10 minutes past the hour: this is in order to avoid class changeover and ensure that accurate occupancy figures are recorded.

How do I 'check' a room?

Actually look into each room. Where spy-holes or viewing panels are provided, please use these. Where neither is provided, or in cases where the spy-hole does not give a full view of the room, you should enter the room. Where a room appears to be empty, enter the room to make sure there is no-one inside. If the room is dark, enter the room to check if it is empty or whether lights have been dimmed for films/presentations. It is paramount that you confirm that a room is truly empty before recording it as such on your survey sheet.

What if I don't know the campus that well?

Walk you assigned circuit before the start of the survey week. Report any access issues or other problems to the Space Management team.

What happens if I get lost or can't find a room?

If you are lost, do not under any circumstances give up; it is crucial that we receive your data. If you are lost:

  • Consult the map of the relevant building in your file;
  • Check for a map hanging in the building;
  • Consult a member of the nearest department or ask someone in the vicinity;
  • If you are still lost contact the Space Management team.

A member of staff is unhappy with me entering the room, what do I do?

Conduct the survey with as little disruption and inconvenience to academic staff and students as possible; be as tactful and unobtrusive as could reasonably be expected. If a member of staff has a query about the survey, or the way in which it is being conducted, ask them to contact the Space Management team.

Will someone check up on my work?

Ensure that the data you record is accurate; your results are subject to audit. You may be contacted to provide further information on your results in the case of disputed data. The data collected is used to inform decision-making on future allocation and planning of University space.
