Airport Transfers: Frequently Asked Questions

Unfortunately, now that the booking form has closed we are unable to accept new bookings for the service. We therefore strongly recommend that you make plans to travel to campus independently.
Every person with a booked seat on our airport transfer services (including "additional" seats for family members) is allowed to bring the following luggage, at no additional cost:
  • one suitcase/large bag per person (your airline's checked/hold baggage size and weight)
  • one small item of hand luggage per person (your airline's carry-on bag size and weight)
  • one small handheld item/handbag/laptop-sized object per person


When booking, you were given the option to add more luggage to this if required. Please note: now that booking has closed, we are also no longer able to accept bookings for additional luggage, although we will transport it on the day subject to their being space on the transfer service. Charges can be found on this page. If you bring additional luggage with you, and have not paid for this in advance when booking, we cannot guarantee that we will be able to transport it, and you will need to use the Excess Baggage facility at the airport.* Please also note that items deemed to be "oversized baggage" by your airline, or that are otherwise beyond the size and weight limits imposed by your airline upon hold luggage, will not be able to be transported unless you seek approval by contacting us in advance.
      Most importantly, remember that there are a number of shops near campus so you can always buy anything you need.
        Please note that your luggage is your responsibility and although there are helpers to assist you at the airport and the University, you will be required to carry your own luggage once you reach the UK.
          *If you bring more luggage than the luggage allowance, you will need to use the Excess Baggage facility at the airport, doing so before the departure time you are allocated. The Excess Baggage facility is not a University service, and there will be an additional charge for this.
            If you are using an alternative transport service, please check your details with the service provider directly.
            When booking, you were given the option to buy up to two "additional" seats. These are to be used by family members only. We are now no longer able to accept any more bookings for additional seats. If you have not already booked a seat for them, the family member traveling with you should make plans to travel to campus independently of the service. If there is space on the day, the team will try and accommodate them, but this cannot be guaranteed.
            Yes. If you have verified that money has left your bank account, you have definitely made a successful booking. We will contact you if there are any problems. Normally, you should expect to receive an automated confirmation of your payment from noreplyonlinepayment@warwick.ac.uk, but sometimes this does not send correctly, or is blocked by spam filters.

            Provided you have made a successful payment, you will be sent your eticket for the transfer approximately 2-3 days before the date of your arrival. If you have not received your e-ticket by 15:00 (UK Time) on Thursday 20 September, please contact us.
            You can expect to receive your electronic ticket by email approximately 2-3 days before the date of your requested transfer. Don't forget to check your spam folder if you can't find it. When you receive this ticket, we advise that you print a hard copy to bring with you - it will contain everything you need to know about what to do when you arrive at the airport on the day. If you have not received your e-ticket by 15:00 (UK Time) on Thursday 20 September, please contact us
            If the details of your arrival change, and you need to change the requested departure time you have selected, please contact us. We cannot guarantee that we will be able to amend your booking, however, if we can help, we will. Please note that it is not possible to amend the time of your booking once your e-ticket has been issued a few days before the transfer date.

            Please note that we are unable to issue refunds under any circumstances, as per the airport transfer terms and conditions.
            Yes. Unfortunately, this was on Monday 17 September (9am UK time) and has already passed, meaning that we are unable to accept any further bookings.
            Please plan your journey carefully. When you selected your "requested departure time" on the booking form, you confirmed that you will definitely be able to reach the relevant meeting point by the time you have given. If you are delayed, we may be unable to accommodate you on a later service. Note that travel times between London Airports and between the airports and the centre of London are significant, and routes are prone to congestion and delays, therefore if you are landing at another airport, traveling to campus independently may be more convenient.
            Please contact us so that we can advise you further. The standard airport transfer vehicles used may be unsuitable for your needs, but we will endeavour to accommodate you, or advise you on the best alternative way to reach the university campus. Unfortunately, it is unlikely that we will be able to accommodate students with mobility impairments on the day without an advanced booking, so please do contact us as soon as you can.
