Can I delete a file I have uploaded in error?

In short, no.

As Dr. Cure explained at the ePortfolio Day, you should think of the ePortfolio as an extension of your Practice Clinical Case records, and therefore all the regulations that apply to your records as a GDC registrant should apply equally on the ePortfolio. Just as you cannot delete entries in your Practice Patient records (even if they have been entered in error), so you should not delete entries into the ePortfolio.

So what can I do if I have uploaded a file in error?

If you have uploaded a single document or image in error you should rename the file in such a way that your tutor or marker can see clearly that it should not be reviewed for the purposes of assessment. The guide below will show you how to rename the document yourself.

  • Navigate to the page with the image or document that you want to rename.

For this example we will assume that Document 1 has been uploaded in error. The process for renaming an image is exactly the same.

  • Press 'Edit' in the top right corner, and click 'More' to access the editing screen.

  • In the 'Edit' screen, press the 'Files' tab to show the files on this page.

  • Once in the 'Files' tab, you should see the list of files on that page. Highlight the file you wish to rename by clicking on the space just to the right of the filename (if you click on the filename itself you will open the document or image).
  • Then click on the 'Edit properties' icon in the menu bar.

  • In the 'Edit properties' screen you can rename the document by editing the current title in the 'Short title' box.
  • Once you have renamed your file, press 'Save'.

  • You will be taken back to the 'Files' tab. Press 'Done' in the top right corner and you will be taken back to the original page on your ePortfolio.

  • You will now see the document or image has been renamed, as can be seen below.
  • You can now upload the correct document or image to the page as required.

What if I want to delete the whole case?

As above, the whole case cannot be deleted. It can, however, be archived.

If you do not want to continue with a particular case, please contact your Portfolio Coordinator and ask for the case to be archived (please be clear exactly which case it is you want archiving). The case will not be deleted, but instead relabelled as archived and a new blank case will be created in its place.
