1.Restrooms: The restrooms are situated on Level 17, directly adjacent to the elevators in the corridor.
2.Smoking: Please note that smoking is not permitted inside the building. If you would like to smoke, the designated area is just across from the entrance to The Shard, where you’ll find a sheltered space.
3.Photography: We will have a photographer on site who will be working with us to capture some images of the day. If you prefer not to be filmed or photographed and have not already informed us, please let a member of the team know on the day. Our planning committee team is on site to ensure your preferences are respected—feel free to approach any of us if needed.
4.Data Protection: The University of Warwick is committed to protecting your personal data. We’ve collected your name, contact details, and preferences to improve your event experience and to keep you informed about future events. If you prefer not to hear from us after today, your personal data will be deleted in line with our data protection policy.
5.Fire Alarm and Procedures: There are no planned fire drills at The Shard on the 4th of March. If you hear a fire alarm or announcement, please treat it as a real emergency. The Shard has a phased emergency announcement system. If a minor incident occurs on our floor or nearby floors, a female voice will announce that the incident is being investigated. In this case, we ask that you gather in the central corridor of our premises to stay informed and prepared to take action if necessary. Please only take essentials with you, like your coats, handbags, or briefcases. Avoid carrying anything that may hinder your movement, especially if you need to use the stairs.
6.Evacuation Procedure: If evacuation is required, a male voice will announce the need to evacuate immediately. Staff will guide you to the emergency stairs. Please do not use the public lifts during an evacuation.
7.Assistance for Individuals with Mobility Issues: If you have any mobility challenges (e.g. pregnancy, wheelchair use), please make yourself known to a member of Warwick staff, and we will ensure special assistance is provided via the emergency lift to safely bring you to the ground floor.
8.Muster Point: Once evacuated to the ground floor, you will be guided you to the muster point in Guy’s Park. Please stay with Warwick staff until it is safe to return to the building. If you wish to disperse, you may do so once we receive the all-clear.
9.Wi-Fi Access: To access the Warwick Guest Wi-Fi, select ‘Warwick Guest’ from your Wi-Fi options. You can either log in with your U number and email password, or connect to the Warwick Guest network, which doesn't require a password.
10.Refreshments: Refreshments, including coffee, tea, water, and lunch, will be available on Level 17, outside of the East Lecture Theatre. We also have scheduled breaks throughout the day as well as a networking lunch at 1pm.
11.Event Schedule: The full schedule for today’s event is available here. A QR code to access the digital programme can be found on your name badge. This will give you quick access to the session times, break periods, and other event details.
