Travel
Within WGA, there are opportunities for staff to travel overseas on University business, whether for conferences, student recruitment visits, or business development activities. There are some standard processes to follow before conducting an overseas trip.
Before the trip
Ahead of booking a trip, you must:
- Obtain approval to travel from their line manager/task manager before making any travel arrangements.
- Check if they are covered by the University's travel insurance policy and be aware of the exemptions.
- Ensure that the IT items that you place to use for University business comply with the minimum IT security requirements.
- Complete the Overseas Travel Declaration From before booking any travel.
- Check whether your destination is classed as a Green, Amber or Red risk - this will impact your planning.
Risk Levels and Risk Assessment
- In some cases, a pre-travel risk assessment must be completed - this is the case for Amber destinations.
- Pre-travel risk assessments must be signed by a supervisor/line manager/Operations Director.
- The risk levels are defined by the University's insurance company and the FCDO travel advice and are as follows:

| GREEN | Solace Secure defines the country’s overall risk as low or negligible and/or FCDO has no specific advice against travel in place. |
| AMBER | Solace Secure defines the country’s overall risk as moderate and/or FCDO advises against all but essential travel (steps need to be taken to ensure travel insurance is in place and you may need to provide justification for travel). |
| RED | Solace Secure defines the country’s overall risk as high or severe and/or FCDO advises against all travel OR countries, areas, territories requiring insurance notification (Insurance cover will not be possible - DO NOT TRAVEL). |
