People Services & Payroll Cut-Off Dates in SuccessFactors

People Services and Payroll cut-off dates.

Please be aware that certain processes require approval in SuccessFactors after submission to us. This means that you will need to submit such requests in advance of the cut-off date, allowing enough time to gain the approval(s) you need.

The below indicates where you will need to allow time for in-system approvals. Please note that overall timescales should not be increased by this change – the time normally taken to gain approval for a request is simply moving to a different stage in the process.

We will only be able to process items in the current payroll month that have been submitted (and where required have been granted all necessary approvals) in SuccessFactors by the relevant cut-off date.

Any changes after the cut-off date will be processed in the next available payrun.

Please download forms directly from the website each time, to ensure you are using the most up-to-date form.

  • Changes of personal details - address, bank details, adding of National Insurance Number.
  • Cost Code Changes.
  • *Leavers - employees, temporary/variable workers (VAM) and visiting/honorary associates.
  • Mid-employment change – requiring Approval to Appoint/Amend (ATA).
  • Overtime (including one-off payments).
  • Temporary/variable worker (VAM) worked hours – for workers submitting claims via SuccessFactors timesheet.
  • Time-off with payroll impact that requires approval – maternity/adoption leave, paternity leave, shared parental leave, unpaid leave.

*Please inform Payroll of any salaried late leavers as soon as possible by emailing Payroll@warwick.ac.uk including 'Current Month Leaver' in the subject.
