It's our ambition to be the single place for students to find out about anything that can help them make the most of their University experience, meet new people or just have fun. We want to showcase all of the fantastic extra-curricular activities available at Warwick by including them on our calendar and website.

We're using myAdvantage Link opens in a new windowto promote extra-curricular events and activities.
Any member of the University community - staff or student - can now register their organisation on the site, where they can add events directly to be listed in one central calendar. In addition, all organisers can take advantage of the in-built event booking and ticketing system for free events within the site.
What's the benefit of using myAdvantage?
- Familiarity for students: this site is already in use for all Careers & Skills activity.
- Linked to student records for powerful reporting and analysis
- Existing expertise and knowledge in-house
- Granular access enables anyone to create a bookable event, whilst empowering students to only share their data with organisations if they choose to
How does it work?
- Any staff member or student can fill in one form to register to become an event creator, subject to approval.
- Registered creators can create events for approval by the Together at Warwick team, who will also add labels and categories to help students find events on the site
- Students can discover all events in one place.
- Optionally, creators can choose to use the booking and/or attendance functions. Names are only shared with creators if a student allows this data to be shared; but the Together at Warwick team can analyse deeper demographic data, and share anonymised trends back to creators.
What events can be published on the site?
We have some rules for organisations to understand before registering, and you'll be asked to submit a declaration agreeing to our event promotion terms every time you submit an event for approval.Rules for organisation registration
- To be included on the calendar, an event has to be an actual event. If it’s something else – like a religious observance or a term long theme – we may still be able to add it to the Together at Warwick website as an Activity instead. Contact us at together at warwick dot ac dot uk if you have something which could be an Activity on the site.
- All activity has to be open to students from all disciplines and backgrounds. It’s OK to specify that it’s just for UGs, PGTs or PGRs though.
- Events can also be open to staff and/or the broader community, as long as it includes students as a main audience. However, it should be noted that the system requires a Warwick IT account to access.
- Only events organised by a University department or an SU affiliated Society or Sports Club can be promoted. The site cannot be used to advertise personal businesses or services.
- Only free events can utilise the built-in booking solution on the site, but paid events can still be promoted by using an external booking link on the event page. We can only promote events with an admission fee if they are organised by a University department or an SU affiliated Society or Sports Club.

Your activity has to be legal, safe and fully compliant with the University’s values and regulations. You will remain responsible for all aspects of the design, management and operation of your activity, and ensure that it is fully legal, safe and compliant.

For SU-affiliated Clubs and Societies, Event Planning Packs need to have been approved by the SU's Student Activities Team before submitting this form for applicable events.
- If you are booking third parties or hiring temporary staff/students to run your event, you are responsible for following due recruitment and contractual policies. You should not agree working hours for individuals before setting them up formally via Procurement, HR/payroll or Unitemps.
- You must have obtained the appropriate permissions for any content, including images, that you submit to us. If you’re not sure, don’t send them in. You will remain the content owner of any submitted content, and will remain liable for any licencing or permissions required to display copywritten content.
- Please use inclusive and welcoming language in the description of your activity, considering the diversity of our student population. Your description should always help students to decide if they are comfortable to attend without feeling unwelcome. Our Welcome event guidance contains some examples of good wording.
We always reserve the right to decline activities if they, or the associated content, are not appropriate for inclusion on a publicly visible page of the University website.
