How to complete a DBS check
This application form can only be used by Warwick Volunteers members who have been sent the link by email from Warwick Volunteers.
A DBS check enables organisations to check the criminal records of volunteers, in order to ascertain whether or not they are suitable to volunteer with vulnerable adults and children.
Step 1: Register
The online application can be completed with these 5 steps. You must complete Step 1 to Step 3 by the end of Week 8, Sunday 27 November.

Step 2: Online Application Form
Complete the application online with all your details. In the ‘Personal Reference’ field, please enter your University card number.
You must supply a full 5 year address history including dates (mm/yyyy) and include details of all your university addresses (including your current term time address, if you are not using this as your current address). Please make sure your term time address includes: your residence, block number, flat number and room number.

Select the relevant identification documents for verification using the online help tool. You can use a Certificate of Status Letter as one of your documents, you can get this from Student Reception in Senate House; select the Utility Bill option for this document.
THIS BIT IS VERY IMPORTANT AND WILL SAVE YOU LOTS OF TIME IF YOU BRING THE CORRECT ID
Step 3: Get your ID verified
Bring your original identity documents to Student Reception in Senate House to be verified. In order to confirm your personal details you are required by the DBS to supply a minimum of 3 identity documents.
The most common documents that volunteers usually provide are:
• Passport
• Birth certificate or Driving license
• Bank statement (within the past 3 months) or a Certificate of Status which can be requested from Senate House

You will need to let the Reception staff know that the documents are for Warwick Volunteers. The member of staff on Student Reception will take a photocopy of your documents and return the original documents to you. Photocopied ID documents are retained confidentially and securely by Warwick Volunteers until your DBS check has been completed and are then destroyed.
Student Reception is open from 08.00 - 20.00 Monday to Friday and from 10.00 - 18.00 on Saturday and Sunday.
Step 4: Check your post
Your Enhanced Disclosure certificate will be sent to your current address. Please keep this safe as Warwick Volunteers do not receive a copy, the document is yours to retain as evidence of your DBS check. Warwick Volunteers receives a notification on GBG Online Disclosures to say if your check is clear or contains information.
Step 5: Join the Update Service. This will keep your DBS certificate up to date and allows organisations (with your permission) to check a certificate online in the future. This is optional but there is a time limit to register of 30 days after the certificate is issued.

You can track the progress of your application by asking for automatic email updates as you are completing your application.
I already have a DBS check
If you have a DBS check through another University of Warwick department that was issued after July 2018 bring your certificate and University Card to the Warwick Volunteers Office, as it may be transferrable.
We cannot accept DBS checks completed through other organisations, even if you have joined the Update Service.

If your certificate shows a Disclosure of information about a criminal record, the Manager of Warwick Volunteers will contact you to arrange a confidential meeting and ask you to provide further information which will be used to assess your suitability to volunteer.

Do you have a current DBS check?
If you have a DBS check through another University of Warwick department that was issued after July 2016 bring your certificate and University Card to the Warwick Volunteers Office, as it may be transferrable.
We cannot accept DBS checks completed through other organisations, even if you have joined the Update Service.
Update Service
If you have a previous DBS check through Warwick and you have joined the Update Service you will need to complete a short form to allow us to check that your DBS Disclosure is up to date and you may not have to complete a new DBS application.
