Mentee Induction Information

2019 Inductions (times are all UK BST) - MENTEES

The WBS Mentoring Programme launches with a Face to Face Induction Day, details are as follows:-

Date: Face to Face - Monday 10 June 2019

Times: Registration from 9.45 closing at 10.20, seated to start at 10.30 Finish approx. 17.00 (NB: UK local times)

Registration Venue: Radcliffe Conference Centre, University of Warwick Campus, Coventry
(all participants must register at Radcliffe Conference Centre)

NB: New format, mentors and mentees will be in the same session for the whole day. Actual sessions run within the 'teaching centre' but report to Radcliffe

If your mentor is present at the same online induction you will have the opportunity to pair off to meet in a private virtual room at the end of the session for approximately 20-30 mins. NB: *This is a busy session and therefore the time is limited to nearer 15-20min virtual meeting (although you're welcome to stay in your private room to continue your conversation).

On previously occasions mentors and mentees have been known to swap skype/WhatsApp/phone details in their virtual room and completed their discussions using another platform. This helps if your individual connection is not strong. We only mention now, to prepare to have an option. There is nothing to do.
Pre-induction information will be sent a week beforehand (videos, ppt to read/watch, to prepare/answer questions at the remote session)
Joining instructions will be sent 2-3 days prior to your session.
Remember: to dedicate the full 2 hours to the session. The session requires interactivity and full participation, to proceed and meet your mentor after your induction. Those unable to fully commit may be asked to re-join another session.

NB: All mentees must attend ONE induction date (either a face-to-face session or one 2 hour remote session with pre-information)

Meeting Your Mentor

All mentees must attend an induction - if your mentor is unable to make your induction, you should still attend. We do our best to ensure all relationships meet at induction, but where this isn't possible we have procedures in place to formally connect you via email.

Help - I can attend the face to face BUT my mentor CANNOT:

  • Do not worry if you mentor has stated they cannot attend the face to face induction day. The induction demonstrates commitment and is designed to provide you with the tools to help you have a more successful programme and has proved to be the best option.
  • For those mentees without a mentor on the day, we offer an additional Q&A at the end of the induction and the option to speak to a member of the team.
  • Where available, we have also offered the option to formerly meet your mentor online at an official online induction. Refer to mentor’s preferred induction date and respond accordingly.
  • Alternatively, we formally connect the relationship. This allows you both to arrange a mutually agreeable time to meet for the first time. All is explained at induction.

FAQ/Important information

When will I learn who my mentor is?

You will learn who your mentor is during your induction. We are unable to disclose mentor details prior to your induction.

What is the purpose of the induction?

The purpose of the induction is to provide you with the necessary tools to achieve the most from the programme, essentially "How to be an effective Mentee". It covers what to expect including; programme responsibilities, contracting, boundaries, escalations routes as well as a mentee perspective. It is a requirement for all mentees to attend an induction. At the end of the induction, we offer the opportunity to meet your mentor, although we cannot guarantee it.

MOU (Memorandum of Understanding)

A copy will be circulated, with your joining instructions, the week prior to induction for you to read. During induction registration you will be asked to sign a hard copy. There is a mentor agreement and a separate mentee agreement. Those participating in a remote induction will be advised separately what to do, in their joining instructions email.

When will I receive joining instructions?

Joining instructions will be sent a week before face to face inductions and 2-3 days before remote sessions. Remember that for remote inductions you MUST have internet access with a microphone and ideally a webcam to meet your mentor.

Mentee Profile

Your mentor will receive a copy of your mentee profile either at the face to face induction or after the remote session. This is primarily based on your application responses. We are unable to alter it at this stage of the process, unless there is a desparate need. This will include your contact details and photo.

Mentor Profile

Each mentee will receive their matched mentor's profile. The profile will include a little background information as well as answers to questions directly relating to the mentoring programme. Often the mentor profile does not include their full and comprehensive background of experience. Mentor contact details will not be on the profile, but will be exchanged when we formally connect you via email after your induction. However, it is fair to say that most mentors and mentees exchange details when they meet during their induction.

What should I bring to face-to-face induction?

There is nothing to bring to induction. We will provide templates during the face to face and will also email those documents post-induction (whether remote or face to face). You might like to have your CV ready to share with your mentor, but this is not a requirement. Everything else is explained at your induction.

How does the online session work?

The remote session is conducted via wbsLive where full participation is required. Pre-induction information will be sent, including a video, that we ask you to watch and provide feedback during the session. The session will cover contract, boundaries, cultural awareness/differences, escalation routes, Q&A and other helpful tips to equip you to have an effective relationship. There is also an opportunity to meet your mentor in a private virtual room, after you have been induced, for the final c.20mins (you're welcome to stay in the virtual room longer, if you both wish, or to switch to another platform of your choosing)

What do I need for the remote session?

Ensure that you are in a quiet place, with a good internet connection. Phones offer limited functionality and we strongly recommend to avoid using them (you may miss important information/need to re-join). The session is fully interactive and we ask for complete attention. This not only demonstrates commitment to the scheme and your mentor but equips you for your relationship. This is all the more important when starting the relationship remotely.

Ensure emails/phones are switched off to stop any interruptions. The session is recorded but NOT your private room discussions. However, this can only be shared with those who have completed the induction, those unable to commit to the 2 hours may be asked to re-join another session. We require this to ensure the quality of the scheme for all participants.

Formally Connecting the Relationship

Once both parties have been inducted, we will formally connect the relationship by means of a single email to both the mentor and mentee. This connection email will be sent after the last inducted party eg: when a mentor and mentee induction dates differ, this could mean you are not formally connected until a week or so after your induction. Refer to your specific mentee/mentor induction date preferences in the email you will have received.
