Privacy and Confidentiality

The survey is completely confidential:

  • Nobody who works for the University of Warwick will ever see individual responses.
  • No information will be provided for teams / units / demographic groups of fewer than 5 respondents.
  • Results will be collated and analysed before reporting back, aggregated data will not be filtered in ways which will allow individuals to be identified.

Privacy Notice

The personal information collected in this survey will be collected on the University’s behalf in accordance with the General Data Protection Regulation 2016, Data Protection Act 2018 and the University of Warwick’s Staff Privacy Notice.

Purpose

Information provided will be used/processed as follows:

  • To understand how opinions and experiences vary between different groups of colleagues, and to look at ways of making improvements at the University.
  • The survey data will be held by People Insight Best Companies and stored securely on their network. It will not be used for any other purposes than this staff survey, nor will it be shared by any third parties and it will not be transferred outside of EEA.
  • Best Companies abides by the MRS Code of conduct and the Data Protection Act 2018. It is accredited with ISO 27001.

Legal basis

Personal data is processed in the University’s legitimate interests because understanding staff experiences and feelings about working at the University of Warwick can inform decisions taken to improve these experiences, and ultimately organisation performance. The sensitive (special category) data collected by the survey is gender, age, ethnicity, disability status, religion and belief, sexual orientation, gender identity and ethnicity. The legal basis for processing your sensitive personal data is necessary for the purposes of identifying or keeping under review the existence or absence of equality of opportunity or treatment between groups of people with a view to enabling such equality to be promoted or maintained.

Retention

Individual survey submissions will be kept by Best Companies on behalf of the University of Warwick for up to 6 years and then securely deleted. Anonymised results and reports will be kept by the University of Warwick for up to 6 years after completion of survey.
