Booking Sessions

  • Bookings for instruments are managed through the calendar on the left hand side.(1)
  • Ensure that you have the correct facility selected, on the top right. If you have access to multiple facilities such as XRD as well as WCUS, this is where you can change between different facilities.(2)
  • Using the filter you can choose which instruments display on the calendar below.(3)

  • To book a session use the click and drag across the calendar the time/dates that you wish to book the instrument for. For Ultrafast experiments you are required that the minimum booking length is 1 day, it is also recommended that you display the calendar in the 'month' format. This will allow you to book multiple days in a row easily. For booking the other equipment the minimum booking length is set to 30 minutes.
Booking Demonstration
  • The below pop up will appear. It should have populated the your details such as your name (1), and the start time/date and end time/date (2) that you selected but you can amend them here if required. Under subject you will need to provide a title for your booking.
  • For the Ultrafast equipment you have the option to select the use of the TOPAS using the linked instruments, (3) If you require the TOPAS then this needs to be selected. It is selected by default so if you don't require it, please unselect this option. For example on the Vibrational absorption there is three TOPAS' available Please only select the two that you need. The TOPAS' have their own calendars which are linked as to stop double booking of the equipment, you can look at the TOPAS availability as a separate instrument in the calendar if you like.
  • The Lab option (4) is the lab that you are a part of for and should be the name of for Supervisor/PI e.g. Lloyd-Hughes, Milot, Pandya. It should be populated for you if not please contact the facility to make any changes. The session type can be changed between unsupervised, training and supervised. This can be used to notify facility staff that you would like support for the booking.
  • Please don't adjust the Account Code/PO options as this is used to track usage.
  • Finally you can save the reservation and a confirmation window will ask you to confirm the booking (5). There may be a fee included in the confirmation this can be ignored.
Booking Windows
  • The booking will now be visible in the instrument calendar. You can delete the bookings that you no longer require by hovering over the booking and selecting the Bin (1). You can also see that it has added the booking the the TOPAS calendar as I requested that in the booking (2).
