Terminating Your Accommodation Contract
You can move into your off campus property from the start date of your contract. The keys to your off campus property can be collected from Student Reception located in Senate House, during their opening hours. If you are planning on arriving outside of these opening hours, you will need to email Student Reception at least 48 hours prior to your arrival so that alternative arrangements can be made.
Arrivals weekend for all first year undergraduate students is the 21st and 22nd September 2019. Over this weekend there will be thousands of students arriving on campus causing the roads to be heavily congested and leading to long delays. We ask that wherever possible you avoid moving into your property over this weekend to prevent any further disruption and to give you a better arrival experience. However, if you do arrive on the 21st or the 22nd September 2019, please be advised that the keys to your off campus property will be held at Westwood Café between 8:30am and 5:00pm on these days only.
If you have asked and it has been agreed for your contract to start on an earlier date or we have asked you to move in on a later date, your contract start date will be the date that we have agreed in advance. Please note, you will be liable for your accommodation fees from your contract start date or from the date previously agreed for an early arrival; even if you do not move in to the property until after this date.
To collect your keys you will need photographic identification e.g. your Warwick ID card or your passport. Keys will not be given to anyone on your behalf under any circumstances. If you have signed as a group, you are not required to arrive together to collect your keys but you will only be given your own keys on your arrival. If you are arriving on this weekend, please ensure you follow the arrival instructions.

Inventory and Gas Safety Certificate
You will be able to access your inventory and gas safety certificate through your Warwick MyFiles account. One copy of the inventory needs to be checked and returned along with the front cover sheet which needs to be signed by all tenants and returned to Student Reception within two weeks of the start of term. Please make sure that you complete it fully and record any discrepancies. Any faults in the property should be reported via the online fault reporting form and therefore please do not use the inventory to report any faults.
You will find the name and contact details of your Property Manager on a notice board in your property and they will be your first point of contact if you have any problems or questions about your accommodation.

Collection of accommodation fees is handled by the University's Student Finance team and the how and when to pay pages will show you the different methods of payment options you have and when the accommodation fees are due. If you are paying by direct debit the accommodation due dates are normally later than other methods of payment.

New students can access their contract through the link in their offer email.
For a transfer to a different University managed off campus Warwick Accommodation property you will need to complete an online transfer request form, available online from Monday of week 3, term 1. No transfers (apart from on medical, welfare or disability grounds) will take place before this day. A transfer can only be to another Warwick Accommodation vacancy and you will not be able to transfer to a student vacancy. You will be held in a waiting list and contacted if we are able to offer you a transfer. If you do transfer you will be charged a £35 transfer fee which will be added to your student account.
If you want to swap rooms with another student within your current property you will both need to email us before moving rooms including the date of the swap, each of your names and seven digit Warwick ID numbers. If your direct room swap is approved and processed you will both be charged a transfer fee of £35 which will be added to both of your student accounts.
Terminating Your Accommodation Contract
Once the contract has been accepted you have seven working days from the date it is accepted online or until you collect your keys (if this date is within the seven working day cooling off period), to cancel the contract by sending us an email.
If you are outside the seven working days or have moved into the property you can only be released from the contract if an eligible replacement is found for your room, this applies even if you do not register at Warwick or if you withdraw from your course. You will remain liable for the rent until the end of your contract or until an eligible replacement is found who takes over your contract and does not cancel within the cooling off period.
If you withdraw from your course you MUST inform Warwick Accommodation immediately by emailing us as well as informing your academic department. You will remain liable for the full length of the contract or until an eligible replacement has been found; we can help you to find a suitable replacement by advertising your room on the Warwick Accommodation website. If you would like us to advertise your room please email and we will send you the relevant form to complete.
If you have accepted a contract as a group, all members of the group must approve the replacement before the group contract can be changed and before the new student can move into the property.
