After some discussion with colleagues and staring at our budget for 2011-2 I feel we could afford on this occasion to cover the refreshment breaks (1250) and the
first evening's meal (2000). For future events we may well be able to do more if asked in time to include it in the annual budget request we create in December.

Obviously we would want to be named as sponsors in the conference booklet and website, and it would be very good if we could put a (one page, one side) letter in the conference pack. Would you be able to make copies or should we? If the latter, how many? And what's the deadline to get the text/the copies to you?

I don't know how you are managing your funds. In other external events we have sponsored we have normally been invoiced by the host university, which is what we would prefer. Invoices can be sent to our administrator, Nick Hodges

The possibility of sponsorship by the Heilbron Institute sounds great, and the money would be put to very good use in allowing us to attract more people to attend the conference as well as improving the experience for those already attending. We suggest some possibilities for specific events at the conference which you could sponsor, along with with their costs:

Evening entertainment on Friday (venue hire and music at the students union): £500
After the great success of the party in the Mathematics department in Cambridge in previous years we are keen to hold a similar event. As a campus university we have a choice of venues and have selected the students' union venue as most suited to our needs.

Refreshment breaks throughout the conference: £1,250
As with any conference, meeting people, discussing research and making connections is one of the most important aspects, and much of the networking happens over lunch and coffee..

Evening Meals: £2,000 - £4,000 One of our larger costs is the evening meals; we plan to provide a basic meal on the first evening, and a conference dinner on the second evening. The costs of these would be £2,000 and £4,000 respectively, and funding towards either of these would be greatly appreciated by both us and the participants.

If there is something appealing in the options suggested above please let us / me know. If they are not quite the kind of thing you had in mind when we discussed this, please feel free to make a suggestion or we can come up with other options. Other sponsors have appeared in the conference booklet and on the website. Depending on the level of the sponsorship, some have had inserts in the conference packs or had a stand in the main meeting area for the conference. The name of the Heilbron Institute could also be attached to any event you chose to sponsor, if you wished it.

The Heilbronn has some funds to sponsor meetings which enhance UK activity in areas that might be of interest to GCHQ. This is not intended to be directly for recruitment, but indirectly, in that if there are more people with the right background there will be a bigger pool of potential recruits. The bulk of these funds go in sponsoring week-long workshops but some is available for other purposes. I think I could justify spending some of this sponsoring your meeting (and its successors). So my question is whether there is, within the meetings' activities, something identifiable we could attach ourselves to (for example, at other meetings where we have not been the lead sponsor we have sponsored a reception, or poster or presentation prizes), and if so, how much would you need?
