Once it is confirmed, we cannot cancel (or change dates) without losing 90% of our money. We can cancel up to 5% of the rooms we want for free, but after that we lose 90%.

Agreed at meeting 28/06/2010 to postpone booking until funding in place. Email from Accommodation:
" We can keep holding the accommodation for now, however if we receive any other enquiries from clients wanting space in April 2011 on the same dates and the other client is in a position to confirm, we will of course contact you and give you 48 hours notice to confirm or release the space. You may therefore feel it best to pre-warn your sponsor if they are seriously considering sponsoring this project at Warwick. "

We have a provisional booking. We have 28 days to confirm it (from 7th june); this requires a UOW cost code, and locks us in to paying for it; we can't change our minds, or the date, once this is done. Assuming we stil want this, we need to get a cost code. Actual payment will be taken after the event.
