We're changing the process for closing staff leavers' IT accounts
To help us protect the security of our digital environment, when a staff member leaves Warwick, their IT account will now close at the end of their final working day. What if I need to close an IT account before a staff member's last working day?
If you need to immediately close a staff member's IT account before their leaving date that is recorded in SuccessFactorsLink opens in a new window, line managers should contact their HR business partner to request a manual override.
What if a staff member needs IT access after their last working day?
For members of staff who need access to their IT account after their leaving date, an exception request can be requested for up to a maximum of six months. Line managers should seek approval from their head of department.
If the staff member needs to access their IT account for more than six months, line managers will require approval from the Registrar.
Once you have approval, it should be logged using AskHR. The HR team will then activate the extension.
What is the process for Unitemps staff accounts?
From Tuesday, 2 May, where a Unitemps staff member has been given access to our IT systems, their account will close on the final day of their assignment. Hiring managers should keep Unitemps informed of any changes to assignment end dates, which can be viewed by logging in to their Unitemps account.
Please be aware that IT access for Unitemps staff is controlled by assignment end-date data in the Unitemps platform. This data is updated in an overnight process which means that Unitemps records cannot be updated on the same day. Hiring managers will need to ensure assignment end dates are checked regularly and kept up to date to avoid losing IT access for 24 hours.
