Terms and conditions
Payment
All prices are as stated or "per person" and correct until 31st July 2025. For internal customers, payment can be made by cost code. For external customer payment can be made by invoice or online payment via the online booking system. If paying with your cost code, it will need to be confirmed at the initial booking stage for your booking to be confirmed.
VAT
All orders made by external customers will be subject to VAT at the current standard UK rate.
Delivery and collection charges
- The minimum order value is £30.00 per delivery.
- Delivery and collection is charged at:
- Up to 50 guests £10.00 per scheduled booking
- Over 50 guests £25.00 per scheduled booking
- Hot and cold buffets £30.00 per scheduled booking
Service staff
For events with numbers in excess of 100, we strongly recommend hiring a member of the team to assist in the food and / or drink service of your event. Charges start from £80.00 per member of staff for 3 hours (3 hours includes: 1 hour setup, 1 hour service time and 1 hour clear down).
Booking amendments
e.g. Moving location, altering guest numbers & changing the products.
Amendments made to an existing booking with less than 5 working days notice will be charged as follows:
- For events up to 25 people - £25.00
- For events up to 50 people - £50.00
- For events of 51 people or over - £100.00
- Moving an event location - £50.00
Cancellation charges
We understand that sometimes you may need to cancel events. The following is a guide to cancellation charges:
- 5 working days notice - no charge
- More than 2 working days notice - full charge for food, no charge for drinks
- Less than 2 working days notice - charged in full (food, drink, equipment and staff)
- Bespoke events will be charged in full for cancellations at any time.
In the event that the University experiences a severe weather warning, it may be necessary to cancel events at short notice. In such circumstances our normal cancellation policy is applicable as the team will already have prepared for your delivery.

Equipment
All equipment remains the property of Warwick Food and Drink.
Any equipment not available at the time of collectionwill be charged for at the following rates:
- Large urn £35.00
- Flask £25.00
- Ice bucket £15.00
- Bottle opener £5.00
- Broken or missing crockery per item £2.00
- Broken or missing glassware per item £2.00
- Cutlery per item £2.00
- Plastic service flat tray / platter and lids £5.00
- Pizza delivery bags £40.00
