November is SIM Training month: reminder + update

As you know, we are contacting all staff to ensure that any outstanding Security and Information Management training has been completed as soon as possible. We understand that everyone is working through a very demanding and busy period, but this training is a contractual requirement and we must report our completion rates to the Regulator.

Reminder + update on action for SIM training now!

If you responded to our training call in late August and completed all nine modules then, thank you! Your renewal anniversary will be recorded and you will be sent a reminder next year. If you have not completed this training yet, you need to do so as soon as possible.

We have a very complex mix of systems and structures here at Warwick, so getting new services to interface between them and work smoothly is not a simple task. The new training records system is no exception.

We have recently experienced some technical problems, which means that although the completion data between Moodle and SuccessFactors is correct in 99% of cases, there are a few instances where it may be incorrect (for example, for some users with changed or dual contractual status).

Clearly this adds some difficulty – in checking records and encouraging colleagues to complete their training.

We are working hard to resolve these problems as soon as possible. If you wish to check your completion status, please follow these steps:

The full list of modules is below and can be accessed directly from these links. If you are unsure whether you’ve completed a particular module or not, please follow the link for each one to check your status – if you see a completion message within the module, you don’t need to take the course again.

The completion message will say:

“Our records indicate you have successfully completed this course within the last 365 days."

If the Moodle module does not show this completion message, please take it as soon as possible.

We have been extracting completion data manually and working around system complexities to provide accurate data. An automated process is being developed to simplify and speed up reporting. Look out for more information in our next update.

We’d like to thank everyone for their patience and perseverance with this process. It is important because it helps to raise awareness and support good, safe working practices and ensure we are legally compliant. It is also mandatory. We continue to note users comments and feedback on issues of content and functionality from all courses. These will feed into a project to produce better material in the future.

Security & Information Management is Everyone's Responsibility

All staff are required to take SIM training that is relevant and appropriate to the kind of work they undertake:

  1. Foundation Training: the two ‘Information Security Essentials’ and ‘GDPR Training’ modules must be completed at induction and refreshed annually by all staff who work at the University, without exception.
  2. Standard Training: in addition to the Foundation Training modules, all staff who predominantly complete their University work on a computer and regularly handle electronic communications, must complete the 7 Standard Training modules listed above, at induction and refresh them annually thereafter. This applies to existing and new staff joining the University from 1 September 2020. There are no exceptions to this policy.
