Behavioural Science Group Events Privacy Notice

The University of Warwick is committed to upholding your privacy rights. This Notice sets out what we do with your information when you make a booking and attend an event and afterwards. It also explains whom we might share information with, how long we keep it for, your rights etc.

Please read it carefully.

What information do we collect?

We will collect information such as your name, contact details, your job role, the institution you are connected with and any dietary or accessibility requirements.

How do we use your information?

The information you provide will be shared with staff at the University for the purposes of administering the event, to include:

  1. An event reminder email
  2. Creating name badges and delegate lists [the list may be shared with other attendees]
  3. To meet any accessibility or dietary requirements [we may share this information with any external providers e.g if there the provider for off site activities ]
  4. A follow-up email
  5. To contact you about similar events in the future

We process your information to enable us to deliver the event to you [carrying out the contract between us], to meet our legal obligations and to further the legitimate interests of the University and those of third parties.

You are not obliged to provide the information to us but if you do not then we will be unable to process your booking request.

How long we keep your information

We will normally retain details connected with your booking for 7 years after the event. We retain information for marketing purposes until you tell us that you do not wish to receive marketing material from us.

Your rights

You have the right to rectify any inaccurate information we hold, to secure a copy of your personal data, to restrict what we do with your information, to erase it, to object to what we do with your information and object to direct marketing.
