Working securely: Enrol self-managed devices

Devices: What do I need to do to work securely?

As we outlined in this previous article, it depends on how you are currently working:

Here we’re focusing on the process for colleagues working on self-managed devices

If you are using a University issued or owned device – computer or laptop – (purchased or funded by your department or through your research funding), running Windows*, but not managed by IT Services or your departmental IT staff, then you have a self-managed device. This means you can install your own software and carry out administrative tasks.

In this case, we need you to enrol your device into our Device Security Service or DSS, (also referred to as Microsoft ‘Intune’ or the ‘Security Management Service’ or ‘Company Portal’).

Enrolling in the DSS ensures your device meets the University’s minimum security standard. Your device will be registered with the DSS and checked for some basic security settings. The instructions are quite straightforward, but things can be different from device to device.

Please note:

  • You will be guided through the process with step-by-step instructions via screenshots and a short video.
  • You’ll need your mobile phone with you as two-step authentication is required during the process
  • The Microsoft tools we are using change rapidly, so don’t be concerned if the screens you see when going through this process do not match exactly the screenshots and video
  • A small number of staff have received direct instructions from IT Services by email, because their devices are known to be configured differently. If you have already received direct instructions from ITS on how to enrol, please follow these by 28 July 2020.

What if I have more than one device?

It may be that you have more than one device for University work – and a combination of ITS/Departmental managed, self-managed and private devices.

For each device you will need to apply the relevant approach:

  • For ITS managed devices – please remember to connect to the VPN every week to receive regular security updates.
  • For WMG or WBS or other departmentally-managed devices – please follow update messages from your department IT support staff.
  • For self-managed Windows devices – please enrol each Windows laptop or desktop device separately in to the Device Security Service before 28 July 2020. Please note: phones and tablets will be addressed later in the DSS programme.
  • For each privately-owned device – use the VDI solution on each device. There will be more information on the VDI service coming soon, as this new service is currently being piloted.

What we need to know and do

  • Our University-wide responsibilities for security and information management are demanding and we must be legally compliant
  • The scale and sophistication of criminal and malicious cyber-activity is increasing, exploiting current circumstances and uncertainties
  • Working away from campus increases our vulnerability and the complexity of measures we’re taking to safeguard our people and information

We need to meet these challenges as an organisation and as individuals.

If your University-owned Windows device is running a version older than Windows 10, you should upgrade as soon as it is practical to do so.
