About the Department

Department Contact Details Gibbet Hill Campus

Warwick Medical School is on the Gibbet Hill campus shared with the School of Life Sciences.From here Central campus is a short walk and where you can find all the usual facilities, Library, food and drink outlets, grocery store, cashpoint and the Arts Centre.

The Medical Teaching Centre (MTC) is where most lectures and small group teaching will be delivered.The building is open every day and is accessed via your University ID swipe card entry. On the first floor you will find a student computer suite and student common room with kitchen facilities.

The Medical School Building (MSB) is located just behind the MTC and is home to the Gibbet Hill Café, multi-faith prayer room and Bio-Medical Learning Grid. There is a large lecture theatre and computer suite on the first floor. Opposite the MTC is the IBRB research facility where student access is limited to the ground floor only for access to the social spaces and lecture theatre.

The Clinical Education Hub (CEH)

The Clinical Education Hub (1^st floor, Beehive) is the home of Clinical Anatomy and Clinical Skills.Located on Westwood Way at the Northwest of campus. Here you will find dedicated teaching spaces for Clinical Anatomy and Clinical Skills accessed via your University ID swipe card.In addition facilities include changing facilities and showers, kitchen facilities and student dwell spaces with ample room to study or relax.

The School Office

The MB ChB has a dedicated administrative team who will be your primary contact for any course related enquiries. The School Office can be found on the ground floor (MTC Room 012) and is open from 10am to 4pm (Monday to Thursday) and 10am to 3.30pm (Fridays).

Facilities

MTC Computer Suite

The computer suite containing approximately 80 computers is situated on the first floor of the MTC in Room 102.It may be used occasionally for scheduled classes or examinations.Where it is necessary to restrict access this will be communicated to you via usual channels (email or noticeboard).If you experience any difficulties or problems with the computers or printers, please contact the IT Helpdesk on extension 73737 (02476 573737).

There are many other study spaces on campus including the Library Study Spaces and alternative computing facilities, including the ICL suite of MAC computers on the first floor of the Medical School Building and the Bio-Med Grid on the ground floor.

Lockers

Lockers are available for student use and are on the first floor in the computer room. Keys can be obtained from the MTC reception. If lost, you will be charged for replacement keys.

Food and Drink

There are kitchen facilities available on the first-floor common room. Food and drink should not be consumed in the computer room, seminar rooms or lecture theatre. The Gibbet Hill Café the Medical School Building and offers both hot and cold food and a selection of drinks and snacks.Please help keep your student spaces clean and tidy and place rubbish in the bins provided.

Alcohol must not be consumed on the premises unless part of an approved University function.

Smoking

The University smoking policy states that smoking is forbidden in any University buildings and directly outside where this may cause offence. This includes use of electronic cigarettes.Cigarette waste should be disposed of properly and considerately in a safe manner.

Luggage and Personal Belongings

Please do not leave bags, or luggage unattended in the corridors. Apart from causing inconvenience to other people using the corridors, they may be treated as suspicious by Campus Security and be damaged whilst being examined. Any unusual or unattended items should be reported to reception or the MB ChB School Office so that Security can be informed.

Fire Evacuation

On hearing the fire alarm (continuously), all students and staff must evacuate the building immediately via the nearest available exit and proceed to the designated Assembly Point.

Please note a test alarm will sound each week for a short period, no action is required.

MTC: between 8.00-8.30 each Thursday

Beehive: Tuesday mornings.

If you have a visual, hearing or mobility impairment that makes it more difficult for you to evacuate or hear the fire alarm, you will need a Personal Emergency Evacuation Plan (PEEP). Please complete the online self-assessment form.

ON DISCOVERING OR SUSPECTING A FIRE:

Raise the alarm locally by shouting fire, fire, fire;
Activate the nearest red break glass which will activate the fire alarm;
Close all windows and doors (do not lock doors)
Vacate the area immediately and leave the building via the nearest emergency exit route as denoted by the GREEN RUNNING MEN signs.
Report the incident to the Community Safety Team from any internal phone on 22222 or from a mobile phone 02476 522222 stating the building, the floor level, the room and the nature of the incident;
Proceed to the Assembly point located within Car Park 1A (in front of the Medical Teaching Centre)
Tell the Fire Marshal who will pass on your information onto the Community Safety Team.

DO NOT delay to collect personal belongings.

DO NOT assemble at the rear of the building.

DO NOT use lifts.

DO NOT return to the building until notified it is safe to do so by the Community Safety Team, even if the alarm stops.

ON HEARING THE FIRE ALARM:

Close all windows and doors (do not lock doors)
Vacate the area immediately and leave the building via the nearest emergency exit route as denoted by the GREEN FUNNING MEN signs.

If safe to do so, please help people with mobility difficulties. Alternatively escort them to a refuge area in any of the staircase enclosures.
Inform the Fire Marshal that a refuge is in use;
Proceed to the Assembly point located within Car Park 1A (in front of the Medical Teaching Centre)

DO NOT delay to collect personal belongings.

DO NOT use lifts.

DO NOT return to the building until notified it is safe to do so by the Community Safety Team, even if the alarm stops.

Fire doors should be kept clear from obstruction and remain closed to prevent a fire spreading in an emergency.

The Reporting of Accidents and Location of First Aiders

All accidents must be reported to the MB ChB School Office and a record of the incident reported via the online Incident Report Form.

There is a first aid box located in the School Office and in the WMS Reception, where required a trained first aider will be contacted for assistance.

In the event of an emergency please call (024765) x22222. Do not dial 999.

Communication and Learning Resources

Effective communication between yourself and members of staff in WMS is essential to ensure that you progress through your course and that you are aware of important information relating to your course of study.

As a student registered on the 4-year MB ChB, you are a student of the University of Warwick. Once you have fully enrolled as a student you will receive a student ID card and a student email account. Your university ID card will also provide access to the Library, and any other facilities, such as buildings, IT resources and sports facilities.

Your personal data

The University of Warwick is committed to protecting the privacy and security of personal data. For further information on how the University collects or uses your personal data please refer to the University Student Privacy Notice

It is important to ensure that your personal records held by the University are kept up to date. It is your responsibility to update your information via Student Records Online if there are any changes to the address(es) you have provided to the University, your contact details or any other changes of circumstances.

On the 'My Data' tab under the 'Edit my personal data' section, click on either the 'Edit my term time contact address' or 'Edit my home address' link.

On the ‘Fees and Charges’ section you can check your tuition fee and accommodation payments. If you are receiving funding from Student Finance England or NHS Bursary, you can update your sponsorship details.

Your Student ID Card

Your Warwick ID Card gives you access to campus buildings, IT systems, allows you to borrow library books and also acts as your University ‘membership’ card. Please use the following links for details on how to submit your photograph, and how you can obtain your ID card.

If you lose your Warwick ID card, or require a replacement card, please contact the Student Information Centre.

Replacement ID cards are issued at University House Reception (1000 – 1500 Monday to Friday) and at the Student Information Centre (Ground Floor Senate House) between 0800 – 2000 Monday to Friday and 1000 – 1800 at the weekends and bank holidays.

Methods of Communication

Email

It is your responsibility to ensure you check your university email account regularly, and this will be the primary method of communication with you. You can expect staff members to respond to email requests within three working days, except when they are clinicians working on a sessional basis or are on annual or sick leave. You can find out details of all staff, contact numbers and location by using the University People Search facility.

Moodle News Forum

Information about your course, including your timetable, is provided via your Cohort Moodle pages. This information is regularly updated and messages posted to students via the Moodle message forums. Please check Moodle posts regularly to ensure that you are fully informed of any changes to the course, including teaching, learning and assessment arrangements. Where it is necessary to cancel a scheduled learning event, this will be communicated via the Moodle message forums.

Tabula

Tabula is a tool to support the administration of teaching and learning in academic departments. It helps academic and administrative staff manage student information such as personal profiles, seminar allocation, personal tutor/supervisor allocations and meetings, attendance recording and marks management. Information about how attendance is recorded via Tabula can be accessed via the Tabula student guide.

Microsoft Teams

Microsoft Teams provides a flexible and collaborative virtual learning environment that brings staff and students together remotely. You can access MS Teams through your Office 365 account or directly through the app.

Academic Technology at WMS WMS Careers Service Library Services

The University Library is located on the main campus. Use the Get Started online Library orientation programme to find out how to use the library effectively.

The Library also manages a number of quiet study spaces, including the Learning Grids.On the Gibbet Hill Campus the Biomed Grid provides a flexible and informal space for individual or group study, tailored specifically to the needs of Life Sciences and Medical Students.

IT Services

IT Services provide the essential resources and support necessary to give all students access to information technology services and support. Information on setting up an IT account, accessing the network from on and off campus, printing and purchasing computers is available on-line

Use of University IT facilities for students and staff is governed by Regulation 31 (Information Management, Security and Records Management).

Printing Credits: Once you have your University ID card you can register and top up your printer credits. Networked laser printers are available to students in each of the Gibbet Hill computer suites.

IT Services provide a dedicated Help Desk, telephone 024 765 73737 (Monday to Friday, 9am-5.30pm) or use the Self Service Portal.

The University expects all students to participate fully in the learning opportunities offered by their course of study and encourages all students to take advantage of additional opportunities for development, both personally and academically.
