Logistics & Practical Information
1. Venue
Days 1 and 2 (Monday, 9 and Tuesday 1o February 2026)

2. Travel
For funded participants, we will fund the cost of economy-class travel to Jakarta up to the limit specified in your letter of invitation. You can either book travel yourself and be reimbursed or we can book the flights for you.
The main airport for arrivals in Jakarta is the Soekarno-Hatta International Airport.
3. Domestic Transportation
Airport Transfers
Airport transfers will be arranged for those arriving in Jakarta unless you have told us otherwise.
Arrivals
For arrivals: After passing through customs at Soekarno-Hatta International Airport, please make your way to the exit gate.
Your assigned driver will be waiting for you, holding a sign with your name. Kindly approach the driver, who will escort you to your vehicle for transfer to the Ashley Wahid Hasyim Hotel in Jakarta.
If you are arriving at a different time than communicated, please inform the organising team to ensure transportation arrangements can be adjusted accordingly.
Departures
For your departure, airport transfers will be arranged from the hotel. Pick-up will be scheduled three hours prior to your flight departure time based on the departure schedule provided.
Please ensure you are ready and present in the hotel lobby at the scheduled time to avoid any delays. Kindly note that you may be travelling with other participants departing around the same time.
If you prefer to arrange your own transportation from or to the airport, please inform the organisers in advance so your transfer can be cancelled accordingly.
On-Ground Transportation
A dedicated shuttle service will be provided to transport all participants between the designated hotel and the event venue based on the official agenda.
If you prefer to arrange your own transportation during your stay, please inform the event organisers in advance to avoid any waiting or delays.
4. Visas
Participants are responsible for checking if they require and arranging their own visa for Indonesia (if required). If you are a funded participant, visa fees can be reimbursed by the workshop organisers.
You can view requirements at the Indonesian Ministry of Immigration and Corrections website.
Many passport holders can enter Indonesia with a B1 Visa on Arrival (VOA) (Tourism). On this visa, you can: (1) travel; (2) visit family or friends; (3) attend meetings, incentives, conventions, exhibitions, seminars or similar events; or (4) transit in Indonesia to go to other countries.
The B1 Vida costs IDR 500,000 (USD30) (for 30 days). You can apply in advance through this website or upon arrival at the airport.
ASEAN passport holders are visa-exempt for up to 30 days.
If you require a visa to travel to Indonesia, we can provide a Visa Support Letter. We will also send confirmation letters to all participants.
5. Arrivals Cards
Regardless of visa status, all arrivals in Indonesia need to complete an Arrival Card online up to three days before travelling. Apply for your card here.
Please be aware that the arrival card is free to complete on the official website. Be aware of commercial or scam websites which charge a fee to apply.
6. Accommodation
Accommodation will be funded for all overseas participants to a maximum of 5 days / 4 nights, at the Ashley Wahid Hasyim Jakarta.
Rooms are single-occupancy standard rooms with breakfast included.
If you wish to stay for more than four nights or if you want to book a double-occupancy, you will be responsible for additional costs.
Breakfast and basic amenities are included. Additional charges (for example, room service, minibar, laundry, etc) will be at the participant’s own expense.
Should you require early check-in or late check-out, please inform the organisers in advance so we can coordinate with the hotel.
7. Insurance
We are not able to provide medical, accident, or travel insurance, and we cannot cover compensation for injury, loss of personal property, or any other costs that may arise during travel or the event period.
We recommend that you arrange international medical and travel insurance before departure.
8. Weather
In February, the weather in Indonesia will be warm and humid with temperatures ranging from 28 degrees Celsius to 34 degrees Celsius. There will also be heavy rain showers due to the rainy season. There will be air-conditioning at the meeting venue and in the hotel, and most transportation and public buildings.
9. Meals
The organisers will provide meals during the duration of the workshop (Monday, 9 February – Wednesday, 11 February 2026).
10. Dietary or Access Arrangements
Please let us know if you have any dietary or access arrangements, if you have not already.
11. Reimbursement
For funded participants where travel has not been booked by the organisers and/ or have ancillary agreed costs (such as visas or airport transfers), please keep all receipts, invoices and boarding passes for reimbursement. An expenses claims form will be sent to you electronically to fill in for reimbursement.
