Deadlines for inclusion for the Summer Graduation Ceremony 2025

Some of you may be thinking about submitting your thesis and getting ready for the Summer Graduation Ceremony. If so, please review the following guidance:

If you have not already done so, please complete the short nomination of examiners form: https://warwick.ac.uk/fac/sci/eng/ro/pgr/exam/nom/ - this means I can then liaise with your supervisor and Doctoral College for the nomination of your examiners in advance of your thesis submission – this should be completed no less than 4-5 weeks before you submit – but much earlier if you can!

After your thesis is submitted and accepted by the Doctoral College, they will extend your ‘expected end date’ (see Tabula) by five months (you do not need to request this; it happens automatically); this allows time for the examination period to take place.

NOTE: If you hold a student visa and your 'expected end date', as shown in Tabula, is more than 3 months after the 'course end date' stated on your CAS, you are required to have a valid ATAS.

To improve the student and staff experience, the Immigration and Compliance team have agreed to the following:

  • Students who fall under this category will be processed once they have provided the Doctoral College/Student Records Team with their ATAS application reference number and date of ATAS application. Student Records will then code the record, allowing the student to continue their registration at Warwick. *Remember, an ATAS is valid for six months from the issue date, so think about this when planning your submission.
  • The Immigration Compliance Team will follow up with the Student Records Team to ensure your ATAS certificate has been received.
  • Request the details for use in your ATAS application from sr.research@warwick.ac.uk, who recommend making your new ATAS application at least 4 months before you may need it for a visa application. You will need to provide a valid ATAS certificate if required for your course, when you request a CAS.

The deadlines below are for all documents (this means the examination must be fully complete) this includes:

  • Your viva has taken place, and any corrections have been completed and approved. The final version of your thesis has been submitted to the Doctoral College.
  • The examiners have returned their reports to the doctoral college.
  • Ideally fully completed no later than the 1st June 2025.

Doctoral College guidance:

The July 2025 ceremonies will take place during the weeks commencing 14 July 2025 and 21 July 2025. For full details, please refer to the Awards and Ceremonies website. 

In order to be eligible to attend the Winter Degree Congregation or to graduate in absentia from this Congregation, all of the formalities regarding your examination need to be completed by Friday 13 June 2025, at the very latest. Please note that it will not be possible to extend this deadline under any circumstances.

Completion of the examination process includes your thesis being examined (usually by viva, in the case of doctoral students), all reports from the examiners being returned to the Doctoral College, the reports being approved by the Chair of the relevant Faculty Education Committee, corrections (if any) being completed with notification of satisfactory completion being communicated to the Doctoral College by your examiners, and the Doctoral College receiving a final electronic copy of your thesis with a completed Library Declaration and Deposit Agreement.
