PGR Experiments Funding Procedure
A Guide to Setting Up Research Experiments with Approved Funding
This guide outlines the steps PhD students should follow once they have received funding to conduct research experiments.
1. Identify Your Funding Source
Before proceeding, ensure you have approval from one or more of the following:
- Personal Conference Fund
- Discretionary Research Fund
- ESRC RTSG (if eligible)
- Chancellors’ RTSG (if eligible)
- Other University of Warwick funding sources

2. Choose Your Experiment Platform
Decide how you will conduct your experiment:
- Online Survey Platforms (e.g., Prolific, MTurk)
- In-Person Lab Experiments using the SONA Participant Pool

3. Add Funds to Your Chosen Platform
Online Survey Platforms
If the platform provides invoices (e.g., Prolific):
- Contact the Finance Officer: economics.finance@warwick.ac.uk
- Request a Purchase Order (PO) and specify your funding source.
- Include any cost code provided by your funder (e.g., if funding provided by Behaviour Spotlight).
- Use the PO to raise an invoice from the platform.
- Ensure the billing address is:

- Forward the invoice to the Finance Officer for processing.
- If funds are not visible in your account after 7 days, request a Remittance Advice to follow up with the platform.
📝 Note: The department does not automatically send Remittance Advice. You may need to request it manually.
If the platform does not provide invoices (e.g., MTurk):
- Submit a request for payment (providing all relevant information) by email to economics.finance@warwick.ac.uk
Payment will be made using the department’s purchasing card.
In-Person Lab Experiments (SONA)
To fund experiments up to value of £20 per participant, plus set-up costs e.g. programming costs.
📝 Note: cash payments are no longer available.
If conducting online experiments via SONA:
- Participants may be paid via:
- Love2Shop vouchers
- Direct bank transfers
- Please email economics.finance@warwick.ac.uk at least 7 working days in advance of needing vouchers.
4. Ethical Approval
Before running any experiments involving human subjects (including pilot studies), you must obtain Ethical ApprovalLink opens in a new window.
For students, including PhD students, the Department has a delegated review process. Students should access this service in the first instance. You should complete the Ethical Approval for Student Research formLink opens in a new window and submit it to the Programme Officer (PGR) who, in turn, will forward it to the relevant academic assigned to overview these. They will assess whether this can be approved by the Department or needs to be referred to the HSSREC for approval.
