Export an External User group to the WebGroups system

The WebGroups system can save you time when managing permissions to access University web pages. For example, you can define a group of colleagues or students, add individuals to it, then assign permissions in SiteBuilder for that group to access pages. When you need to add or remove individuals, update the group membership in the WebGroups system. The update cascades to all pages where the group has permissions; you don't need to change any pages yourself.

You can maintain your External User group membership in https://ext-users.warwick.ac.uk and export it to WebGroups. Changes you make in the External Users system synchronise to WebGroups once a day.

  1. Go to https://ext-users.warwick.ac.uk.
  2. Under External user groups, select the name of the group you want to export.
  3. In the toolbar, select Web group:

    Select Web group button

  4. In the Web group properties pop-up window, select Export to webgroup.
  5. Enter a name for the web group, all in lower case without spaces. EXU- is prepended by default – for example:

    EXU-green-festival-speakers
  6. Select Submit. It can take up to 24 hours for your group to appear in the WebGroups system. Any changes you make to this External User group synchronise to WebGroups every 24 hours.
