Space Booking

IAS Room Bookings

The Institute of Advanced Study is located on the ground floor of the Zeeman BuildingLink opens in a new window on the University of Warwick central campus, at the back of the main entrance atrium, where we have a Seminar Room, Meeting Room, staff offices, and hot desking for Fellows - ask for the door code.

When not in use by the IAS, the Meeting Room and Seminar Room can be used for other activities that advance our mission, and at the discretion of the Director. The seminar room has a capacity of 50 and the meeting room 16, and there is no charge for the use. If you wish to use these rooms, please:

  • read the criteria of use
  • check the availability and make a booking request using the calendar below

Confirmation of your booking request will be sent via email.

As per the criteria of use, please note that food & drink (other than water) may only be consumed in the common room & cannot be taken into the Seminar or Meeting Rooms.

You will need to sign in to make bookings.

Criteria of Use

  • We require at least 24 hours’ notice to be able to confirm your booking.
  • IAS funded activities are given initial priority, with all other requests being prioritised by date of receipt
  • We will advertise all relevant events happening in our space and will request the information we need in order to do so this.
  • The IAS hosts a number of prestigious Visiting Fellows. Where appropriate, users of our space are asked to invite IAS Visiting Fellows to join their activities.
  • The space must be left clean and tidy, with the tables and chairs arranged as you found them, technical equipment and lights switched off, catering materials to leave outside the room, ready for collection and all doors closed. Failure to do can cause future bookings to be refused and existing bookings to be cancelled.
  • For evening/weekend events and those taking place on Fridays, the event organiser should contact the IAS during office hours to discuss access arrangements.
  • If you need to cancel a booking, please locate your booking on the calendar above and select 'delete'.

    Practical Points for Users

    • The IAS space is located within the IAS, ground floor, Zeeman Building.
    • The seminar room can comfortably seat up to 50 people. The room is set up in a Theatre style. If you wish to alter the layout of the room you are welcome to do so, but we kindly request that the room is put back into a Theatre style at the end of your visit.
    • The meeting room can comfortably seat up to 16 people. The room is set up in a Boardroom style. If you wish to alter the layout of the room you are welcome to do so, but we kindly request that the room is put back into a Boardroom style at the end of your visit.
    • There are accessible toilet facilities on the same floor as the IAS seminar room.

    IT information

    • The seminar room is equipped with a lectern incorporating a managed desktop, whiteboard, projector and screen. You can bring your own laptop to if required which can connect to the projection system by cable or wireless. Please note that if bringing your own Mac you will need to bring an HDMI adapter if not using wireless connection.
    • The meeting room is equipped with a wireless enabled screen and a whiteboard. You will need to bring your own laptop to engage with the technology. To cast to the wireless screen, you need to download the Solstice App (available through the software centre for managed computers) and follow the on-screen instructions.     • WiFi: Hotspot Secure, EduRoam and Warwick Guest connections are available.

    Catering

    Please note: there are no self-serve drink facilities for Room bookings in the IAS. If you wish to serve refreshments, please make arrangements with a catering provider. Catering orders will automatically be delivered to the common room and food must be eaten in this area. Food or drink can be taken into the seminar room or meeting room. Please indicate on the booking form whether you will be arranging catering.

    We also don't provide the same service as Warwick conferences due to size of the team. So if you require any equipment or IT support on the day please be in touch with IT Services.
