School of Life Sciences Responsibilities

Introduction

The guidance below has been created to support employers, students and academic supervisors to understand their responsibilities and involvement with those undertaking placements within the University of Warwick's School of Life Sciences.

The responsibilities listed form part of wider University guidance on Placement Provider Responsibilities which is informed by current good practice as defined by the Chartered Institute of Personnel and Development, Institute of Student Employers and professional careers bodies ASET and AGCAS.

Placement Guidance for Academic Supervisors

Pre-placement

  • Read all guidance related to placements, in particular the obligations regarding attendance monitoring and additional considerations for student visa holders on the internal Staff Guidance for Work Placements page.

On Placement

  • Establish check-in points and maintain contact with students once a month during their placement.
  • Ensure attendance monitoring points are logged on Tabula each month of the placement. Where monitoring points end in June of each academic year, any Student Visa holders still on placement will need their monitoring points manually recorded on Tabula.
  • Complete the Placement Visit FormLink opens in a new window within 48 hours of a site visit being conducted with a student.
    • Ensure student wellbeing is monitored through contact points, and signpost to relevant services wherever necessary.
    • Monitor the safety and suitability of the placement, and work with the placement provider to mitigate any concerns identified. Where efforts to address such concerns are not effective, the School take steps to ensure student’s safety and wellbeing, which could include advising the student to leave the placement and supporting them in seeking an alternative arrangement.

    Post placement

    • Supporting students with re-integrating from the workplace into a study environment.
    • Providing feedback to the Life Sciences Placement team to inform the review, monitoring and development of future placement processes.

    Responsibilities of the Life Sciences Placement Team

    Pre-Placement

    • Ensure all parties are aware of their responsibilities (department, student and Placement Provider)
    • Brief students to best prepare them for their placement, including health and safety expectations and expected conduct.
    • Establish and communicate procedures to all parties for instances where responsibilities are not met.

    On Placement

    • Inform the Placement Provider if there are new factors that will affect completion of the placement or change the planned end date
    • Support students as and when required with; the transition to the workplace; queries; and issues.
    • Provide activities or materials for students, to reflect on, and capture learnings from, their experience.
    • Prepare students for returning to study with relevant supporting information, which may include: changes in the department, module information, information about accommodation for the following year.

    Post placement

    • Coordinate and evaluate feedback from all parties (department, student and Placement Provider) to inform the review, monitoring and development of future placement activities at a departmental and institutional level.
    • Encourage students to integrate learning from their placement into future studies.
