Information and cooperation that may be required from a Placement Provider

Data and subject access

Higher Education is subject to Freedom of Information Requests (Public authority – funding and purpose/service) All our courses are subject to SAR – we may come to schools to request correspondence – emails, documents etc. that contain identifiable information (initials, name, ID number etc). This can also include things like Teams conversations etc. Such requests could be made by anyone for whom we hold personal data – most likely from students or staff.

Complaints Consumer Protection Law

Competition and Markets Authority have specific guidance that covers HE as a product/service and students as ‘consumers’. We are held to the information that makes a ‘material’ difference to an applicant’s decision and delivering those necessary opportunities that could reasonably be expected of us in relation to opportunities to study towards a qualification.

Regulatory & Safeguarding Compliance

As an Initial Teacher Training Provider and a department within a degree-awarding University, the Centre for Teacher Education is required to maintain practices and policies that are compliant with a range of regulations. Offers and Agreements

During the Summer Term the partnership office will approach partner schools to request placement offers for the coming year and to ask partners supplying these placements to sign the Partnership Agreement.

These documents set out:

Timing of placements
Details of the funding each placement will attract
Responsibilities of the University
Responsibilities of the placement school

If you have not received (via email) a copy of the university-led offers document and Partnership Agreement and wish to offer placements for either Primary and Early Years of Secondary trainees, please email Partnership@warwick.ac.uk and we will be happy to provide documentation and advice

Safeguarding

The university ensures that all trainees, as part of admissions procedures, have taken part in a rigorous selection process designed to assess their suitability to train to teach and to satisfy Keeping Children Safe in Education requirements.
This includes an Enhanced DBS Check

The ITT Criteria supporting advice states:

Providers should confirm in writing to schools that a non-salaried trainee’s criminal record check, including a check of the children’s barred list, has been completed and that the individual has been judged by the provider to be suitable to work with children. Providers are not required to provide any information to schools in addition to this confirmation. Schools may wish to record this confirmation in their single central record, but they are not required to do so.

The university will send to placement schools, ahead of the placement start date (via a secure file sharing system) a copy of university vetting check.
This vetting check will confirm all of the above

Funding

The school will be paid for each trainee placed with them. The amount the school will be paid is set out in the offers document. Towards the end of the placement the university will raise a purchase order for the relevant amount and send this to the school. The school will the return an invoice for the stated amount, quoting the purchase order number. invoices will be paid as per University Standard Terms and Conditions - by BACS payment into your nominated bank account 30 days from the date on invoice

Professional Mentors, Subject Mentors and Class Teachers will be automatically signed up to relevant bulletins when their details are shared with the university by the school. These bulletins are sent out via mailchimp.
We save all bulletins on the Partners' intranet here should you ever need to refer back to them.

Collaborative agreements

During the Summer Term the partnership office will send out a copy of the Collaborative agreement to School Direct Lead Schools

This document sets out:

Responsibilities of the University
Responsibilities of the Lead school
Further information & details regarding lead school responsibilities can be found here
Details of the funding across the year

The Lead School should read this agreement carefully and return a signed copy to the university along with Bank details on Organisational Letter Head (as per Schedule 2 of the Collaborative Agreement)

Safeguarding

School Direct Tuition (SDT)

The ITT Criteria supporting advice states:

For SDT Trainees the university will send to School Direct Lead Schools, ahead of the course start date (via a secure file sharing system) a copy of university vetting checks for each SDT Trainee. It is then the responsibility of the Lead school to send these Vetting checks on to trainee base schools
This vetting check will confirm all of the above.

School Direct Salaried (SDS)

For SDS trainees it is the responsibility of the SD Lead school (or Base school) to carry out these checks.
The School should (ahead of the course start date) complete and return a vetting check on the university template for each SDS trainee.

Funding

School Direct Tuition (SDT)

For SDT trainees the university will send the Lead School 3 separate Purchase Orders (PO) to a total value per trainee set out in the collaborative agreement.

Lead schools will be asked to invoice in 3 instalments (end of each term). The Lead School finance contact is sent a PO which will list all Trainees and the instalments due. The Lead school will raise the invoice (quoting the Purchase order number) and send the invoice to CTEFinance@warwick.ac.uk for authorisation and payment.
Payments will be made to the lead school as follows:

Instalment	Timing of PO
Instalment 1 (Autumn)	End of December
Instalment 2 (Spring)	End of April
Instalment 3 (Summer)	End of June

There will be adjustments pro rata for any withdrawals in year.

Invoices should always quote the purchase order number and should be sent to CTEfinance@Warwick.ac.uk
Payment will be by BACS transfer into the Lead school’s nominated bank account 30 days from the date of invoice.

School Direct Salaried

For the Trainees who are School Direct Salaried (SDS) the university will invoice the LEAD SCHOOL for a payment set out in the collaborative agreement.

This will be invoiced in 3 equal instalments as follows

Instalment	Timing of Invoice
Instalment 1 (Autumn)	End of December
instalment 2 (Spring)	End of April
instalment 3 (Summer)	End of June

There will be adjustments pro rata for any withdrawals in year.

*In addition to the above for SDS Trainees - University Student Finance (central university) will collect a tuition fee payment of £2000 direct from each School Direct Salaried Trainee (or the employing school if a sponsorship agreement has been authorised)
