International Travel Guidance

The University has guidance relating to international travel for staff and PGR students to ensure that export control regulations are always followed. It’s important to consider the specific activities you’ll be undertaking whilst travelling, and whether you are going to do any incidental or routine work whilst overseas. Taking experimental equipment to an overseas conference, accessing digital documents, or even opening an email containing sensitive information could constitute a controlled export, even if the only person who sees it is you.

Be aware that export controls might apply if:

  • the item/technology/data being exported is listed on a control list
  • an "end use" control applies

R&IS have put together some guidance to keep you on the right side of the regs.

DO:

·If possible, request a blank electronic device from your department to ensure no controlled data/info is exported.

·Only access your emails via WebMail if opening them overseas.

·Avoid video calls, telephone calls, and email-based conversations relating to research in controlled areas unless you have an appropriate export licence.

·Liaise with the RG&C Team to make sure you’re cleared to proceed.

DON’T:

·Take any unnecessary research data with you on an overseas trip. Until that data is publicly available, it should be kept as safe as possible.

HEECA Training Reminder

Don’t forget that HEECA online training is available to everyone who may be working within the Trusted Research sphere. It takes 30-45 minutes and will supplement your knowledge on export control requirements. Email us on ResearchCompliance@warwick.ac.uk and one of the team will get you set up.
