Meeting Stakeholders
These meetings can be spread out over weeks, but are a useful way of getting students up to date and so it is recommended at least some of their second week consists of these meetings.
Team Meetings
Please add your students to any existing team/department wide meetings. These are incredibly useful for them to gain exposure to existing team structures and ways of operating, as well as allowing them to become familiar with the University.
Key Stakeholders
Please set up individual meetings with any key stakeholders, such as key people in the wider project team, service owners, influential staff members, etc. In these meetings, it's important to:
- Include all students so as not to overwhelm any staff members with numerous meetings
- Allow students time to introduce themselves and the project they'll be working on
- This will give them practice at explaining their roles within a professional context
Check-Ins
It would be useful for students to have biweekly/monthly (depending ont ime and length of role) check-ins with a team member outside of the project, such as their buddy or another staff member with the capacity to support students and answer any of their questions or concerns.

These check-ins will be an opportunity to share any reflections or issues and to ask any questions that they may not feel comfortable asking their manager or team member.
Personal Development Task
As outlined in the job description, we need to ensure that students have something they are working towards in the role, this is for their personal development and a way to have something to showcase at the end of their time in the role.
This can be the main task that they can explore with their mentor (or admin buddy if they have the capacity) and gives them a structure around which to engage.
Please allow:
- 10% of time to introduce the activity
- 10% of independent work/reflection time (to be repeated weekly/monthly as appropriate)
There is a self-reflection toolkit created by the skills team that you might find helpful to share with your students
We have also pulled together an area for how to support your student staff, with activities or things you can do to foster certain skills.
Training
Depending on the role, your department, or their hours students may be expected to undergo specific training to help them in their roles. Things such as focus group or facilitator training, learning to use a specific application/programme/system, health and safety certificate or any number of related courses.
There is some mandatory training for staff on joining, and it may benefit your students to do these as well:
- Information Security Smart (includes GDPR)
- Health and Safety- including a basic induction, fire safety, and display screen equipment
- Finance- including regulations and procedures, and anti-bribery
- Social Inclusion
