Typing up notes

If you are asked to type up notes from a lecture or seminar it is likely that the student will use assistive software to read the notes. Students will use a screen reader to 'read' the document to them.

For example, a student may have a visual impairment or physical impairment which makes it difficult to read in the conventional manner.

For visually impaired students it is particularly important that you create your Word documents using 'styles' so that the software can properly recognise titles and subtitles and can move around the document effectively.

This simple Microsoft guide explains how to use 'styles'.

More information about how screen reading software sounds can be found on the creating accessible resources page.

Unless your student has specifically requested otherwise please follow these guidelines for creating typed notes:

  • All typed notes should be formatted with page numbers and the date and title of the lecture.
  • As with handwritten notes be sure to include cross references to slides and handouts.
  • Space the notes out and use line spacing of 1.5.
  • Use a simple sans-serif font such as Calibri or Verdana.
  • Create notes in a font size of at least 12 points.
  • Always keep a back up copy of the notes because if the student does not receive the notes or receives them in an unusable format we cannot pay you for the work undertaken. It is advisable for you to copy Support.Worker@warwick.ac.uk in to any emails to which notes are attached. This way if there is a dispute as to whether notes have been received it can be easily remedied.
  • Save the file with a meaningful name which details the module, whether it is a lecture or seminar, the week number and the date.
For example: Georgian Britain lecture, week 4, 9.10.16
This will help you and the student to keep track of typed notes.
  • Attach the document to an email with a heading that reflects the file name.
For example: your notes for Georgian Britain lecture, week 4, 9.10.16

If typed notes are required you will be paid for the typing up of notes. If you have taken notes for a 1 hour session we would pay you an extra 30 minutes to type up the notes. If notes are taking longer than half an hour to type up please inform us and we will make a decision as to whether further payment can be authorised for the additional writing up time.
