Using the AV System

The Chaplaincy Central Space has a sound system which incorporates 1 each of wired, wireless and clip-on microphones. Laptops can be linked to the projector via HDMI / 3.5mm aux to carry sound. Microphones are kept in the locked Music Cupboard behind the curtains on the screen wall. You can request access to the key for this cupboard by submitting this form.Link opens in a new window If you need AA batteries for the radio mics, please ask the Chaplaincy Coordinator. Microphone stands are kept in the central space. You no longer need to access the AV cabinet to use the AV system. Under no circumstances may any of the AV equipment be taken out of the Chaplaincy. Using the Projector
1. The screen is lowered and raised using the controls behind the curtain at the front of the room.
2. The projector is turned on with the remote control, located behind the curtain at the front of the room.
3. The AV cabinet, located to the left of the glass doors, has a computer built into it. You can log into this with your usual Warwick ID. Alternatively, there is an HDMI lead attached to the AV cabinet which you can plug into your own laptop.
4. The screen on top of the cabinet and the projector will always display the same image – your laptop if it is connected or the internal computer if not.
5. If you are using the internal computer and you would like to use a clicker to advance slides etc., you can plug it into one of the USB ports on the left hand side of the screen on top of the cabinet.

You must report any use of songs / material licensed by CCLi / OneLicense to the Chaplaincy Coordinator immediately after using the Chaplaincy to play content that is covered by this license.
You must check with the Chaplaincy Coordinator and SU before using the Chaplaincy to play content that is not covered by these licenses.
Sound
1. Sound from videos, presentations etc. played on the internal computer or an external laptop connected via HDMI will play through the PA system. Use the volume control on the computer to adjust the volume if needed.
2. There is also a cable with a 3.5mm jack attached to the AV cabinet which you can use to play music from smartphones and other devices through the PA system.
3. There are three microphones available. There is a handheld radio microphone and a lapel radio microphone as well as a wired microphone. These are stored in the locked music cupboard which is behind the curtains on the screen wall. You will need to collect the key from the Deister cabinet to access these. Please make sure that all microphones are returned to the Music Cupboard after use and that the radio microphones are placed back in the charging dock. Once microphones have been taken from or returned to the music cupboard, the Music Cupboard must be locked and not left open during your event. The key must be returned to the Deister cabinet in the Foyer before you leave the building.
Camera
1. Central space is equipped with a camera which enables you to stream and record your events if you would like to. If you are recording or streaming you must comply with the relevant University guidelines.
2. There is a remote control, stored in the music cupboard, to control the camera angle, zoom etc. You will need to get the key from the Deister to access this cupboard. Access can requested on-line from here.Link opens in a new window
3. The camera’s feed is only available when using the computer in the cabinet – it is not possible to use it with your own laptop.
4. The University recommends the use of Teams for online meetings and streamed events.
5. Please note that sound will only be picked up from the microphones so anyone not speaking into a microphone will not be heard by online participants. We advise trying the system out and ensuring you are familiar with it before using it for an important event.
