Important reminder from the Permit Office

Do you request or return permits as part of your role?

The Permit Office has issued two important reminders to help keep the INVIDA system running smoothly and ensuring safe, compliant working across Estates.

Submit permit requests on time

There has been a rise in applications submitted without the required 72-hour (three working days) notice period. Late requests create avoidable pressure on the team and delay processing for everyone.

Unless the work is an emergency – such as loss of power, critical mechanical failure, a safety risk, risk to life, or risk to business continuity – you must:

  • plan ahead, and
  • submit your permit request in line with the published notice periods on the Permit Office webpages.

Return your permits promptly

The Permit Office is now tracking permit close‑out and return rates. At the moment, 70% of permits are not being returned, leaving key records incomplete.

If you request permits, you must ensure that every permit is:

  • fully signed off by all relevant parties
  • scanned and emailed to permitrequest@warwick.ac.uk
  • returned within two working days of the permit end date

If you can’t meet these requirements due to exceptional circumstances, contact the Permit Office as early as possible.
