Customising Email for applying based on job vacancy (if applicable)

Do this when you are asked to apply for job by sending an email.

Sometimes some job vacancies posted online, require you to send your full application usually including your CV and Cover letter by email, instead of filling a job application form.

In this case, you would need to write a very short, precise and straight to the point email to the potential recruiter or employer.

Think of this email as a compressed and short version of your cover letter. The email should not be more than 1 short paragraph and a couple of sentences usually 1 – 2 sentences.

The email should be short and include the following components:

1- Subject: ‘Application to’ and the name of the job role you are applying for.

2- Greeting: "Dear" and then, if you know the name then say Mr./Ms…etc followed by the Hiring Manager Last Name; if you do not know the name then just say "Dear Hiring Manager".

3- Body (this is the short paragraph): This should be between 2 – 4 sentences maximum and should include the reason you are sending the email “I am writing to apply for…”; the position and “at” then the organisation name.

In addition, it should include one sentence highlighting your key skills and experience (using the job description keywords) that make you a good fit for the role.

4- Indicate attachment or the attached files (sentence 1): Here you should tell the employer or recruiter that you have attached your CV and Cover letter to this email as part of your application.

5- Thank you and sign off (sentence 2): You need to thank them for their time and consideration and sign off.

It is important to MAKE SURE YOU ATTACHED THE PDF VERSIONS OF YOUR CV AND COVER LETTER TO THE EMAIL BEFORE SENDING IT.

Email template and example

Below is an example of an email to sent to an employer by someone who is interested in applying for an Office Administrator job.

Dear Ms. Sara Zayid,

I hope my email finds you well.

I am writing to apply for the Office Administrator position at your esteemed organisation. I believe my organisation and administrative skills, my welcoming and friendly attitude, combined with my experience in customer service make me a good fit for this role.

I am attaching my CV and cover letter as part of my job application for your kind reference and review.

Thank you for considering my application. I look forward to the opportunity of potentially contributing to the important work you are doing.

Yours Sincerely,

I have also provided you with an email template below that you can use, if you are required to send your application through the email.

It is important to note that for this email template, anything written in red brackets [ ] is where you have to fill your own information. Similiar to the templates provided in Section 3.3 in Module 3Link opens in a new window, after you are done filling the information in the template, you need to make sure that all your email is written in black, there should NOT be any red colour when you send the email to the employer or recruiter.

Template email:
