First Year Accommodation Offers to go out by Email

Often done around the 1st week. These students would have applied in the summer period and now would have received their confirmed offer from the university after their A-Level results were confirmed. Please see the link which shows an example accommodation offer letter explaining how to accept the offer/room transfers/rejecting their offer and their arrival instructions.

Off Campus Contracts Start

Not all, some will not be ready but this is often represented in their contract offers. How this affects us – key prep/ highlighting those keys that are not ready to prevent early arrivals

Held week prior to UG arrivals weekend, £195 – does not include the Friday night. Sometimes we can accommodate them in their term time room.

51 week let Students Depart

Those postgraduates in 51 week contracts will depart their accommodation, they will not be able to extend thier contracts as the rooms will need turning around for the following academic year. The students will be required to bring thier keys back to student reception and fill in a key return slip.

Start of Autumn Term

Undergraduate Arrival Weekend

UG arrival weekend will commence Saturday 1st October 2016, thousands of students will descend upon the campus, and it is our role to make sure that they arrive into their accommodation smoothly. Those with surnames starting with A-M are encouraged to arrive on the Saturday and those remaining on the Sunday, the bedroom keys will be distributed by RLT in the day at locations near the residences and returned to student reception around 4.30pm on both the Saturday and Sunday. At this point we will continue to check the later arrivals in at student reception. The reception opening times will be extended from 7am – 3am till the end of week 3.

Fresher’s Week

Week commencing start of term. The Student Union have a range of events and publications starting over the summer and culminating in Freshers Week itself when 5,000 new students arrive on campus as well as the 8,000 returning undergraduates and our postgraduates. They will also be running a fair during Orientation week when international students will be arriving on campus.

We will also recieve calls from companies and departments enquring how to book a stall in the SU for Freshers week, please direct these enquiries to the SUHQ reception - 02476572777.

Tuition/Accommodation Fees Due

Coincides with the start of each term. Student fees are due, minimum requirement is the first terms accommodation and 50% of their tuition fee, however they may pay more or all.

This period will see a very high turnover of payments made at student reception. Although not to be overly advertised, the credit control team in finance will not charge students for late payment until after 21 days of which the late payment will be 3% of what is due at the time. They will send out reminder statement, followed by another warning with the expected penalty charges and finally if they have still not paid they receive a letter summoning them to the fees committee.

Enrolment

The enrolment event takes place over a week period in the panorama suite. This enables the students to be able collect thir BRP card and/or show proof of their visa to the Office of Global Enagement. The majority of Student ID Cards will be with the accommodation keys. Status letter can ordered online and collected 24hrs later in the marquee located outside Senate House. Or on the day at Student Reception, it is recommended to order them online.

Transfer Forms Go Live for On-Campus

A transfer list will be available for those unhappy with their accommodation that wish to move room. They will be added to a transfer list and will only be moved when a room becomes available. Those with medical conditions and those in sharing accommodation will take priority when rooms become available. Those who just want to move room without medical reasons will be subject to a £35 transfer fee.

The Open Day is the perfect opportunity to visit the campus and experience what it is like to be a student at Warwick. All services and academic departments are open so you will have the opportunity to experience all that Warwick has to offer.

November

Final Year on Campus Accommodation goes Live

Students that are entering their final year on undergraduate degree in 2017/2018 (excluding MChB students) or returning from a year abroad in 2016/2017 as part of their undergraduate degree, will be able to apply online for campus accommodation for the 2017/2018 academic year from 12 noon .
 
Applications will not be processed on a first come, first served basis. The number of students who are accepted through the ballot varies each year depending upon the number of students in the guaranteed groups who apply. Usually between one third and one half of the ballot applicants are successful in getting a room on campus.
 
Students can either apply as individuals or as part of a group for final year campus accommodation. If a group consists of guaranteed and non-guaranteed members the non-guaranteed members of the group will go into the ballot together. The guaranteed members will keep their guarantee regardless of whether or not the other members of the group are successful in getting a place.

If students miss the deadline they will have to wait to see if a waiting list opens. In previous years we have been able to open a waiting list in January, but this is dependent upon us receiving a sufficient number of rejections. The number of students accepted from the waiting list varies each year. As it is a waiting list there is no deadline by when you will receive the result of your application. The number of applicants taken from the waiting list varies each academic year depending upon how many of the successful applicants from the original application process reject their offers.

Off Campus Accommodation Will be Available to View/Create Groups/Reserve Properties

The off-campus selling season goes live at 12 noon on our website. Please make sure that you have read through all of the information on our website: http://www2.warwick.ac.uk/services/accommodation/studentaccommodation/apply/17/current 
 
To book a viewing students have to create a group, even if they are only in a group of one. All members of the group have to have accepted membership and then the group leader can book viewings on a property. Each group can have up to 3 viewings at a time and each property can have 3 groups with a viewing on it.

The first group leader to click on reserve will get the property (this is the next stage after booking a viewing). If another group clicks reserve the viewings for the other groups will automatically be cancelled. The group that reserves the property then has 48 hours to choose rooms and accept the contracts online. If students want to view the property, if we have permission from the current residents, the contact details will appear on the website when the viewing is booked online. Unfortunately if they do not appear it is because we haven’t been given any. The students need to go to the property and see if the current tenants are in. If not we suggest that they leave their contact details at the property so that the current tenants can contact them to arrange a suitable viewing time. If they are struggling to get hold of the tenants after doing this they need to email us. Please make sure that students are aware that we are still adding properties to the website. There is a housing day in the SU from 10am until 4pm on 14th November which all of the property managers are at so if you have students with queries relating to specific properties please send them there.

First Refusal on Off Campus Properties for Current Students

Email sent to current tenants asking them to Indicate before 20th November if they wish to remain in the house for the 2016/2017 academic year or create a new group and select a house after 27th November.

Final Year Campus Room Allocation Offers to Go Out

At the end of January, this text is going to be sent to final year students who have been offered a place on campus for the 2017/2018 academic year. They cannot change their allocation or pass it to another student. If they have medical reasons for needing to change they need to follow the usual process at:

If we receive a reasonable number of rejections from final year students, we will be opening a waiting list on our website for final year undergraduate accommodation at 12 noon on ?. Only students who will be entering their final year of undergraduate study in 2017/18 will be able to apply. The waiting list will operate on a first come first served basis and is currently being advertised on the newsfeed on our website.

Winter Graduation

This year’s winter graduation ceremonies are taking place from Wednesday 18th Jan - Friday 20th Jan 2017 inclusive. All ceremonies will take place in the Butterworth Hall, Arts Centre. During these days there will be an increase in traffic on and around campus. Owing to the timings of the ceremonies (11am and 3pm each day), the peak time for this increased traffic is anticipated to be during the mornings and evening rush hours. Where possible please ensure you plan your journey accordingly to arrive and park on time for your shift to start.

Please find some info below regarding Graduation week in case we have visitors to the Student / Conference reception.

Parking Restrictions

The ground floor of car park 7 will be for disabled use only. The lower ground floor of car park 7 will be for VIP’s only.

Park & Ride

A dedicated Park & Ride facility for graduands and their guests will be operating from Stoneleigh Park direct to campus each day of the ceremonies. Stoneleigh Park will open from 07.00 and buses will commence at 08.00 from Stoneleigh Park and run throughout the day until 19:15, when the last return service will run from campus to Stoneleigh Park. This facility will help reduce traffic around campus. See below for directions to Stoneleigh Park.

Warwick student ambassadors will be on hand throughout the day to help you. Buses will pick-up from Stoneleigh Park and drop-off at Car Park 2 only. Reverse journeys will operate from the same point on campus back to Stoneleigh Park only. The walking distance from the drop off point to Warwick Arts Centre will be approximately 5 minutes.

Permits are not required for the Park & Ride facility.

Guest Ticket Collection – Ensemble room in Music Centre, Arts Centre

Graduate is entitled up to two guests to the ceremony. Additional guests (without entrance tickets) are welcome to watch the live relay of the ceremony in the Cinema of the Arts Centre or on the Big Screen on the Piazza.

Occasionally, additional tickets become available. These will only be distributed on the day of the ceremony and strictly on a first come, first served basis. Any spare tickets may be collected from the Arts Centre Box Office from 08:30 (for 11:00 ceremonies) and from 11:30 (for 15:00 ceremonies)

Vacation Bookings Open

Easter vacation will be running from Saturday 18th March 2017 to the Thursday 20th April 2017 inclusive (departure Friday 21st April 2017 at 09:30). Cryfield for Standard accommodation will be used for this purpose and the Kinetics Event Reference is 1096313.
 
Accommodation will only be available to Warwick students at a rate of £13 per night. The booking link will appear on the Student Reception website from 20th February (time not specified). Students will be able to book and pay for their accommodation via this link. A minimum stay of five nights is applied to booking.

When a booking appears in the Student Reception email please print this and the payment details off and enter the booking details onto the ‘Easter 2017 spread sheet located in: R:\FOH\Shared\Useful Files\Master Copies\Vacation Accommodation\Vacations 2017\Easter 2017
 
On the ‘Easter Vacation 2017 (Ref 1096313) on enter the guest’s name, arrival date and departure date. PLEASE STATE IF THEY ARE A STAFF MEMBER ON THIS SPREADSHEET.

In Kinetic Residential, Rooming list, enter event reference 1096313. Enter into the rooming list the new vacation booking. Once entered and saved in Kinetic, on the ‘Easter Vacation 2017 (Ref 1096313)’ spread sheet, highlight the name and details of the booking you have just entered into Kinetic. This will indicate that the booking has already been entered into Kinetic and will therefore avoid names being entered again in future.

On the guest’s booking form in the Office Use Only section, tick the ‘E’ for entered on spread sheet and ‘K’, once entered into Kinetic and ‘Paid’ to indicate full payment has been taken. Finally file the booking form in the blue Vacation Accommodation box alphabetically of surname.

There are printed copies of the amended booking form if any manual applications are requested by disability services, otherwise all bookings should be made online. Please make sure if any manual forms are handed out then the terms and conditions (in same tray ) are given out too. Manual bookings in which payment has been taken over the desk will not be eligible for refunds if they should cancel their booking.

Manual bookings requesting charges to be added to the student account will need to be added via alocations team therefore please pass this by Lewis/Louise frst.
 
Any amendments or refund requests should be made in writing to the Student Reception email address. Please forward any refund requests to Louise Gower for processing.

Final Year Campus Waiting List Opens

If there are a reasonable number of rejections from final year students then a waiting list may open. We will start accepting waiting list applications for final year undergraduate rooms on the campus for the 2016/2017 academic year from 12 noon 23/02/2017. Places are offered to eligible students on a first-come, first-served basis as suitable rooms become available. Students who have been supported on medical/disability/welfare grounds will take priority. Further information and the online application form is available at:

End of Term Letters to go out

Undergraduate Application for First Years Open & Postgraduate Applications Open

Application forms for applicants for 2017/2018 will be going live on our website towards the end of May. It is going to be a soft opening to start with where we post on the newsfeed that the forms are now available but do not email all of the students until at least next week in case of any issues.
 
Apart from for Family Accommodation, applications are not processed on a first served basis so there is no benefit in students rushing to apply. They should take their time.

Some of our allocation policies have changed for the 2015/2016 academic year so if you are dealing with queries it is very important that you make yourself familiar with the information in each section of the application. There is not a 'principles of allocation' page this year, each indivdual accommodation guide will have a 'How We Allocate' section - make sure you are familiar with this information.

I have attached a Accommdation Application Guide here (INSERT WHEN SENT) with screen shots of the application process and also a spreadsheet of what all of the categories of students can apply for.

As this is the information that the students will be seeing when they apply for accommodation.

Undergraduate applicants – need to have Warwick as their firm or insurance choice with UCAS before they can apply.

Postgraduate applicants - need to have a conditional or unconditional offer from the University of Warwick before they can apply.

Applicants need to create a username and password to access the system. If they forget their password they need to click on the forgot password link to reset it.

If they want to make changes to their application forms they need to email us.


Before forwarding queries to the Allocations Team please bear in mind the following:
• Check if the answer is in the attached guides, on the application page or in our FAQs.
• Changes to applications can only be made if we receive the request in writing so if it is a phone call please ask them to email us.
• If an applicant has not provided an id number please ask them for one before forwarding the email.
• If the query is relating to the registration process please make sure the email includes their family name, id number and date of birth before forwarding it.
• If students want their accommodation preferences changing please can you ask them for a list of their new preferences in order so we can ensure that we are updating the form correctly.
• We cannot give out any information regarding a specific application over the phone.

Exams

Take place between weeks 5-9 which can produce some extra volume with potentially upset/distressed students. There is always someone available in Student Support and on Saturdays during exams.

Term 3 will be a stressful period for many students on and off campus with the lingering demands on revision and the upcoming exams soon to take place. However, there is a comprehensive support and welfare structure available to help with all kinds of different problems that may occur. Summer Vacation Bookings Open

Summer vacation will be running from Saturday 2nd July 2017 to the Friday 15th September 2017 inclusive


Accommodations will only be available to Warwick students with a valid ITS username and paswsord at a rate of £13 per night & £20 per night. Commercial Group Staff are only entitled to a discounted rate if they book Cryfield ONLY. The booking link will appear on the Student Reception website from 1st June (time not specified). Students will be able to book and pay for their accommodation via this link.

CCSG staff (Warwick Conferences, Warwick Food & Drink, Warwick Accommodation) will use the same process as past vacations. They will need to ask their Line Manager to email me their ITS username and confirm they are a staff member and require accommodation during the summer vacation. (They will have to accrue over 15 hours of work per week to be eligible) I will then authorise their ITS username to see the discounted option when they log into the vacation webpage. A minimum stay of five nights is applied to booking for all.
 
Printed copies of the amended booking form if any manual applications are requested by disability services, otherwise all bookings should be made online. Please make sure if any manual forms are handed out they the terms and conditions (in same tray ) are given out too. Manual bookings requesting charges to be added to the student account will need to be added via Allocations therefore please email accommodationoffers requesting this. Please note the charge on the form in the ‘office use only section’ and that this charge has been emailed.

Any amendments or refund requests should be made in writing to the Student Reception email address. Please forward any refund requests to Louise for processing.

Orientation Applications Open

Orientation is the perfect introduction to life in the UK. The new students both UG and PG receive a friendly welcome at Heathrow, an extensive entertainment schedule, early enrolment, as well as the opportunity to meet new friends from across the world.

The primary aims of Orientation are to ensure that you will;

•Arrive safely on campus

•Be able to find your way around Central Campus and the Local Area

•Fully enrol with the university and receive your Student ID card

•Start the process of opening a bank account

•Register with a doctor


Additional aims of Orientation are to encourage you to;
•Feel a sense of belonging to the Warwick Student Community

•Become acquainted with fellow new Students at Warwick and begin some lifelong friendships

•Have an awareness of UK learning styles and gain some essential academic skills

•Be aware of issues particular to International Students (e.g. immigration issues, police registration, road safety and security concerns) and become acquainted with the numerous Support Services provided by the University and Warwick SU

•Understand the role of Warwick SU (Students’ Union) and its many Clubs and Societies

•Discover some great opportunities to integrate into the Local Community

•Develop your cultural awareness to aid the transition to living and studying in the UK

Summer Degree Ceremony

This year’s summer graduation ceremonies are taking place from Monday 17th July to Saturday 22nd July 2017. All ceremonies will take place in the Butterworth Hall, Arts Centre. During these days there will be an increase in traffic on and around campus.

The summer 2016 schedule is now available to view here (UPDATE WHEN RELEASED) . Please check to confirm the date and time of the ceremonies for your department.

If you are potentially due to graduate, we will contact you from mid-May onwards and you will be required to register online to confirm if you plan to attend or not (or if you wish to opt out of this summer and defer your graduation to a future ceremony), please check our web pages around this time when further details will be released/updated.

We may start receiving emails/phone calls regarding booking accommodation as they are attending Graduation.

If guests require a double or single room then please direct them to Radcliffe or Arden to check availability and rates but as per normal these places are limited. Available to book now. Web page below.

Deadline for Applying Accommodation

The deadline for both UG and PG applications is the 31st July. You can still apply for accommodation after the deadline day however the students will not be a priority. These students may include applicants who meet the conditions of their offer after 31 July, applicants whose course offer has been changed after the 31 July 2014 or applicants joining the university through clearing/adjustment.

Pre-sessional English 10 week

The Pre-Sessional Course is suitable for those that English is not their first language, and they have an offer for an undergraduate or postgraduate degree at the University of Warwick. They may study for Phases 1 & 2 or Phase 2 (Phase 1 & 2 lasts Ten weeks and Phase 2 lasts Six weeks).

The course offers the students an opportunity to develop their study skills in English Language for Academic purposes within the environment of Warwick University itself.

Phases 1 & 2 (10 weeks): July - September 2016


Fees

The Tuition only, fee for 2016 is £1945 for the 6 week course and £3240 for the 10 week course. A non-refundable deposit of £880 must be paid. The remaining balance is payable upon arrival at registration at Warwick University.

Financial Year End

Financial audit needs to be completed; all petty cash must be sent over and cash tills and reserves should balance.

A-Level Student Results

Clearing hotline will open.

Today is the day students will receive their A-level results therefore the admissions team will open a hotline for students who have results but hold no offers, they then use the Clearing service to find alternative courses. Clearing is how universities and colleges fill any places they still have on their courses.

Off Campus Contracts Start

Some will not be ready but this is often represented in their contract offers and you will be updated daily by the allocations team.
 
Off-campus keys should not be given out before their contract start date. And all arrivals must fill in an off campus pink docket.

Once you have logged onto Kinetic and opened ‘Kx Student’ please do the following process if an off-campus arrival comes to the desk:

•At the top left corner, you would find a box displaying the current date. That should be kept as it is. On the right hand side of the date, there are two boxes; on the top one, click on the small arrow and choose ‘Off campus housing’; and from the bottom one, leave [All] selected.

•When a student arrives, ask for their ID card, enter the student number in the box ‘Find ID’ near the right hand side of the window. BUT DO NOT USE the one at the top of the window.

•Ask the student to fill in a pink docket, stating that you will fill in the ‘room section’

•Once the number is entered and it is valid, it will automatically go to the record and highlight it. Check the name of the student and check the contract start date. This is stated in the arrival column. If it does not find the student they may have arrived before their contract start date therefore we are unable to issue the keys to them.

•If it is the correct student, you need to check that the student has signed the contract. In the column titled ‘Accepted’, if the student has signed the contract, it should have a tick in the student’s field. We can then check them in by clicking the ‘Check In’ button. (If the student has not signed the contract, they need todosoonlineat https://www.accommodation.warwick.ac.uk/onlinecontracts/login/login.aspx )

•When the student hands back the completed pink docket please write the P number of the room they will be given. On the ‘Room’ column in Kinetics is will say the following: Example; P2274/B1/2295/Room6. Please write the highlighted number as the first is the property the second is the room.

•Go to the key cupboard and find the relevant P number. Take the key and out, check it is the correct one and place the pink docket in the tray. There may be something stapled to the bag so please look at the bag to see if there is anything you need to do before issuing the key.

•Hand the key and ID card back to the student.

•Once you click the ‘Check In’ button, a new window will pop up (Check in Students). In the ‘No of keys available’ field, click on the arrow and choose ‘None’ from the drop down list. In the ‘Quantity of keys’ field enter the number of keys that are on the set you are giving out. Click Next.

•The window will change to ‘Selected Students’, click ‘Next’ again to confirm it.


•In the next window ‘Check in Options’, if everything is fine, then click ‘Finish’ to finish the process.
