Organising your job applications in files and folders

This step is important to make sure you do not send the wrong application to the job you are interested in

The easiest way to organise digital documents including .doc and .docx and .pdf, is through placing them in properly labelled and named folders or files.

It is very easy to create folders for your job applications. The sections below show you how you can create a folder for the job you are applying for on a computer/laptop and on a mobile phone.

On a computer or laptop

Step 1: You go to the location you want to create the folder in. When using a computer/laptop you could go to your desktop and then right click the screen and select ‘New’ then folder (both in yellow below).

If you do not have Windows, then you access your Google drive (refer to section 1.2 in Module 1)Link opens in a new window and then right click on the screen and select new folder (in yellow below).

Step 2: Once you created a new folder, it would create one called ‘new folder’ and allow you to change the name, you should change the name to:

“Employer name (company name)-Position you are applying for”

You should have a new folder with the name of the Employer (company) that has the job post followed by -the name of the position you are applying for on your google drive or desktop and it (below in blue).

Step 3: That’s it, this folder you just created should be is empty inside. Ready for you to put your customised CV and Cover letter in it.

For example, if I want to apply to a Teaching assistant role at School123. I will create a new folder, and name it “School123-Teaching Assistant”.

On a mobile phone

If you do not have a computer/laptop, below is the same example on how to create a folder on Google drive using a mobile phone.

These steps are similar to those using a computer with a small difference:

Step 1: Go to your Google drive (refer to section 1.2 in Module 1Link opens in a new window) and click the + button (below in yellow) and select ‘Folder’ (below in yellow).

Step 2: Once you created a new folder, it would create one called ‘new folder’ and allow you to change the name, you should change the name to:

“Employer name (company name)-Position you are applying for”

Each job application should have its specific folder or file on your device. So that all your applications are organised to avoid any mistakes.

You need to repeat these steps of creating a folder or a file for every single job you are applying for.
