Requesting Digitisations (Scans)
Requesting a digitisation allows a copyright compliant scan of a chapter or section of a key reading to be attached to your reading list. Scans will comply with accessibility requirements and allow an unlimited number of students simultaneous access.
Scans for reading lists should now be requested by filling out a Request Digitisation Form against the item bookmark, instead of including the request in the Note for Library field.
To request a scan of an item on your list:
- Click the vertical ellipsis at the far right of the bookmark in question and select "Request digitisation" from the resulting drop-down menu. This will launch the digitisation request form which has 2 pages.
- The form will be pre-populated with info from the item metadata and the list (module name, code and student number), as well as your email address and name.
- You can amend any of the fields as necessary such as specifying page numbers. If any required fields have been left blank, an error message will flag up which will prevent you from proceeding.
- On the second page, please be sure to specify the 'Needed by date' in the appropriate field (for example a week before the students are expected to have done the reading, the first week of term, etc). This helps the Library plan and prioritize their work.
- The last field on the second page allows you to leave a 'Note for the Library', which is ideal for including any special instructions or guidance for the Library to fulfil your scan request.
- Once you are happy with all the details entered on the form, press the teal "Submit" button at the bottom which will automatically send the request through to the Library.
- If you haven't already, don't forget to publish your list!
The Library will then:
- Check to see whether we can legally scan the extract under the CLA Higher Education Licence, then digitise the material and update the bookmark on your Talis Aspire reading list to attach the scan. If we cannot digitise the extract, you will receive an email indicating that the request has been rejected along with an explanation of why it cannot be scanned.
- Once the scan has been attached to the resource bookmark on your list, the "View Online" button will appear at the far right of the bookmark where it previously said "View Availability". Simply click the "View Online" button to view the scan.
Please note: the Request Digitisation feature is for requesting specific chapter/section scans, not for requesting e-books.
Top Tips:
- Existing scans that were live on the same list from the previous cycle should rollover automatically each year and not need to be requested again. However, if you notice any scans that have not rolled over as expected, you can request a new scan following the instructions outlined above.
- If you are setting more than one chapter or extract from the same text, please clearly indicate which should be prioritised for scanning. If you do not indicate which should be prioritized, we will action the request that comes through first.
- Please note that requests made which exceed the allowed limitations (as detailed below) will be rejected and will slow down the resource being made available for your teaching.
- If you are unable to complete the Request Digitisation Form due to Talis Aspire being incompatible with any assistive software you use, please let the reading list team know atreadinglists.library@warwick.ac.ukso that we can assist.
What can be scanned?
Please also note that limited elements of a work can legally be scanned - you can copy up to the amount shown on screen for each module, whichever is the greater:
- one whole chapter from a book
- one whole article from a magazine/journal issue
- one whole scene from a play
- one whole paper from a set of conference proceedings
- one whole report of a single case from a volume of judicial proceedings
- one short story, poem or play (not exceeding 10 pages in length) from an anthology
or
- 10% of the total publication
