Warwick continue to offer all students currently on an outbound work or study placement the opportunity to repatriate to your home country should you wish to do so and safe travel is possible.
You should be aware that the FCO has now advised against all but essential travel abroad so the university's expectation would be that you would leave your host country and return home, provided it is safe to do so, you are not under lockdown conditions locally and international travel to your home country is permitted.
Please let us know if you do decide to stay or leave, and confirm with us when you have arrived home safely. Please also keep your location and contact details updated on the Student Mobility section of e-vision. Check regularly your Warwick e-mail account, the Warwick website FAQs together with updates from your host institution or employer.

If you wish to remain overseas, please ensure that your address details are up to date on eVision and keep in touch with your department.
In terms of University Business insurance continuing to provide medical expenses cover for students it will be subject to the following:-
* The host has not told you to leave the country.
* The purpose of your original trip continues i.e. study (online or otherwise) or internship
* Cover will expire when the purpose to remain ends. 10 days grace will be permitted to source a flight out of the country after the purpose ends.
Students should also consider the following when deciding to stay in their host country:-
1. How you will continue to fund your trip e.g. accommodation, food, return flights etc.
2. Where you would seek medical attention if required. Insurers will pay for emergency treatment (subject to the above and policy terms and conditions) but due to the situation you will be reliant on the medical services in that country.
3. Whether your visa conditions are affected.
4. Any impact on your private health insurance by remaining in the country.
You should read your contract carefully to ensure that you are not in breach of contract. Make sure you keep in contact with your employer and follow the advice provided. There may be a period of working from home, or working remotely.
Please also ensure you keep in contact with your home department and ensure update your eVision record with any change of location.
You should speak to your school if you wish to leave, whether or not the school is already closed.
If your host university does not offer their courses online you should formally end your placement. If they offer your chosen modules online we would advise you to follow the courses from home.
No, you will not be able to return to your placement this spring/ summer because the University has not lifted its’ travel ban and it is highly unlikely that the travel ban will be lifted before September.
Classification of COVID-19 as a pandemic means that we expect to see increasing global spread over the next several months.
It is now infeasible for mobility students impacted in one country to be moved to another.
Students opting to remain in-country against FCO advice should pay particular attention to the provisions of any personal/travel/health insurance cover they may have and/or access to health services provided through the EHIC card where relevant, depending upon the degree of support able to be offered by national health services.
The University is working with all academic departments and with students on mobility to ensure that students are able to be assessed against learning outcomes for their experience in a way which means they suffer no detriment from these highly unusual circumstances and are able to complete their experience successfully.
Departments will advise students in this position of any variations to assessment requirements put in place in due course.
The University’s normal mitigating circumstances procedure may be used to bring issues to the attention of Boards of Examiners.

Yes.
For students who booked a return flight as a result of Foreign and Commonwealth Office advice after 9 March 2020 for those out in Italy, after 14 March for those out in Spain or after 17 March for all other students (excluding China), then students were advised to claim the costs of travelling home through the University's Business Travel Insurance. The deadline for claims through this route was mid-late April 2020.
If you returned before the end of your placement and you are unable to claim through the University's Business Travel Insurance, then Warwick will pay any travel-related costs to enable you to return to your home country. This includes standard airfare back to your home country, additional baggage allowance, transport to the airport, costs for sending your belongings back home.
Please complete the claim form and return to your department at Warwick who will arrange reimbursement of these costs for you. You will need to submit receipts: Download the form FP16a
In order for your claim to be processed, please submit the FP16a claim form to your Study Abroad Coordinator by 10 July 2020.
Repatriation costs are only available if you leave your placement early.

The offer to reimburse travel costs was to support students to return home early from work or study placements in light of the Covid-19. Funding towards return flights for those who have stayed overseas to the end of their placement and are now looking to return home will not be covered. Where students have not been able to travel home before now, please speak to your Departmental Study Abroad Coordinator about your particular circumstances about whether some financial assistance may be available.
The deadline for submitting your FP16a form to your Departmental Coordinator to claim and repatriation costs is 10 July 2020.
Repatriation costs are only available if you leave your placement early.
Please ensure that your address details are kept up to date on eVision so that we know where you are and keep in touch with your department.

You will need to check with your personal health insurance provider. It is our understanding that a number of insurers will no longer provide medical insurance cover in countries where the FCO have advised against all but essential travel.

Yes, they will be covered by the University.
This should not be a problem as long as you have submitted all your YA assignments for SMLC.
This will be taken into account by your department and the School.

The global situation is unpredictable. Unfortunately it is not possible at this point in the year to place you elsewhere.
SMLC students: You should continue to work on the year abroad set tasks. You should also refer to all the links and ideas on the Year Abroad Academic work moodle page for working on your language(s).
Please look at the wellbeing pages and remember that you have access to all of the support mechanisms available at Warwick including the Big White Wall and Wellbeing Services. Your Student Handbook which is available on the Student Mobility webpage is also a good source of support.
We are afraid we cannot offer any financial help towards travel for graduates on BC assistantships since you are independent adults, not students on a placement which is a course requirement.
We do not expect you to make any further financial commitments in terms of accommodation or fees (this applies especially to German universities where the summer semester has not started yet).
Please check with the insurance manager as soon as it is safe to travel again.
So far this hasn’t been possible but we might look into this possibility at some point.
Consult the relevant website and see if there is information about deregistering by post. If not, contact them to ask if doing so would be possible given the exceptional circumstances.
This is a personal decision, but we would like to reassure you that we are happy for you to return home earlier than planned if you feel you need to. You should consult the FCO website for up-to-date information and seek advice from your home institution.

The University has announced the following in relation to online learning and assessment for Term 3:

- Undergraduate intermediate and final-year: teaching is cancelled; academic support and all essential assessments continue
We also recommend that you speak to your home university about what they require you to have undertaken to meet their requirements.

The British Council have now provided the following guidance:
Students will still be eligible to keep the 70% of their grant as long as one or more of the following criteria is met:
- you carry out the online distance learning and any associated assessments offered by the host institution/organisation or work from home where this is offered; or
- you are still having to bear the costs associated with the mobility experience (e.g. continuing to pay rent/bills for accommodation overseas that no longer being used).
Please identify your circumstances below and proceed with next steps for processing of your Erasmus grant.

Check your accommodation contract to see whether there is a force majeure clause within the terms and conditions as this may allow the agreement to be cancelled, thereby preventing you from having to make any further payments.
Depending on the terms of your accommodation contract, the insurer may also be able to cover your final rent payment. Contact the Insurance Services team (insuranceservices@warwick.ac.uk) if you are unable to end your contract early for assistance with finding out whether the insurer can cover your next accommodation instalment.
If you were on placement in Europe, follow the guidance in the ‘Erasmus’ section of the FAQ website for whether you will be able to receive 70% of your Erasmus grant which can be used towards this cost.

After careful consideration, Warwick will continue to offer mobility options in the autumn term. We recognise, of course, that plans may need to change depending on the progress of the Covid-19 pandemic and the restrictions on travel from the UK to specific countries, or more specifically to your selected placement.
Some of our partner universities have made the decision not to offer mobility during the autumn term and we will be in contact with all students directly if such a decision impacts their planned travel.
It is likely there will still be many changes to mobility plans over the next few months. If your international placement is still going ahead, please ensure you read our advice on what to do next.

After careful consideration, Warwick will continue to offer mobility options in the autumn term. We thank you for your patience whilst we have been reviewing our offer for autumn term mobility. Your nomination has been received from your university and our team will be in contact shortly with admission instructions.
It is impossible to predict how the Covid-19 pandemic will impact over the coming months and your plans may need to change if travel restrictions are not lifted. The health and wellbeing of all of our staff and students will inform our decisions. However, all plans at Warwick are for a traditional start to the autumn term. There will be differences with social distancing measures in place, possible use of protective equipment and the potential for digital learning options to be employed in the event that circumstances require a change to usual teaching methods in the short term.
Our plans will depend on the continued advice of our respective governments, and on their travel advice. Keep in regular contact with your departmental coordinator and consider the following:
· Do not make any expensive plans or travel arrangements that cannot be refunded; take particular care when making any bookings that full refund would be available;
· Ensure your information and contact details on Evision are current at all times; we rely on these to maintain contact with you during a period of mobility and will use these in any crisis situation which occur;
· Keep in contact with the Student Mobility team and advise us if your plans change or if you move elsewhere;
· Keep in close contact with your departmental coordinator at Warwick if your plans change;
· Review the Frequently Asked Questions on the Student Mobility website: we aim to update this source of information regularly;
· If you hear directly from your host university that mobility has been cancelled, let your department and Student Mobility know asap;
· If your host university or employer provides an opportunity to engage with them via digital distance learning for the autumn term with the potential of a spring term mobility period, advise your departmental coordinator and the Student Mobility team. This would be entirely acceptable from Warwick’s perspective;
· We understand that British Council work placements are still due to run, and for students undertaking British Council Language Assistantship programmes the advice is still to plan to travel as expected during the autumn term;
· In terms of work placements sourced independently, you may still be able to work remotely, or when travel permits, to continue as planned, in-country. Again, this is acceptable to Warwick;
· Erasmus+: we have received advice indicating that the British Council will not fund mobility delivered digitally during the autumn term. You will wish to consider any financial impacts this may have on your on-going ability to study as planned
· Worldwide: many students rely on additional work while studying overseas and you may need to think carefully about your finances as casual work may be more difficult to find in the future months.

We would recommend that you talk to your departmental co-ordinator regarding potential alternative opportunities. You may wish to discuss:
· Delaying your mobility until the spring term. In this instance, could you find an internship or work placement for the autumn term? Check with your department whether an internship in your home country would also be possible and fulfil your required learning outcomes;
· Consider an alternative placement for the autumn term: please note places may be limited due to countries not enabling travel, or universities choosing to remain closed for mobility students;
· Consider a short-term mobility programme next summer: students from cancelled places this autumn will be prioritised;
· Engage with a virtual mobility programme.
· Discuss with your departmental co-ordinator whether transfer to a three-year variant of your degree, where available and appropriate, may be the preferable option for you.
It is essential that any decisions are made through your departmental co-ordinator and with reference to the learning outcomes required for your degree.

If your placement provider is unable to offer a face to face international experience for the Autumn Term but have offered you a virtual placement, speak to your departmental coordinator about the following potential options:
1) Proceed with undertaking the Autumn Term placement online (please note for those undertaking EU placements, you will not be eligible to receive an Erasmus grant for a virtual experience). Hopefully you will be able to undertake a face to face experience in the Spring.
If you do not wish to undertake your planned Autumn Term placement online, your options are:
· Speak to your departmental coordinator regarding potential alternative placement: please note places may be limited due to countries not enabling travel, or universities choosing to remain closed for mobility students;
2) Consider whether it is possible to delay your placement until the Spring Term and find an internship or work placement for the Autumn Term (liaise with your Departmental Coordinator about whether this would be possible in order to fulfil your required learning outcomes);
3) Discuss with your departmental coordinator whether you would prefer to transfer to a three year variant of your degree (where available and appropriate) instead. You could still take part in a short term mobility programme (1-8 weeks) during Summer 2021.
It is essential that any decisions are made through your departmental co-ordinator and with reference to the learning outcomes required for your degree.

3) Consider a short-term mobility programme next summer: students from cancelled places this autumn will be prioritised;
4) Discuss with your departmental coordinator whether you would prefer to transfer to a three year variant of your degree (where available and appropriate) instead. You could still take part in a short term mobility programme (1-8 weeks) during Summer 2021.

- If you have not yet received your 70% Erasmus grant payment for this curtailed mobility period then you will receive a grant payment calculated for the period of activity that you undertook up until activity was suspended.
- If you have already received your 70% Erasmus grant payment for this curtailed mobility period then your grant will be recalculated for the period of activity that you undertook up until the activity was suspended. In these circumstances it may be that you will need to repay some of the grant that you have already received.

You are entitled to receive an Eramus grant to cover travel costs if you were unable to cancel your travel booking with reimbursement from the travel provider.
In order to receive an Erasmus grant to cover your travel cost, upload the following to eVision:
- Evidence that you requested a refund/reimbursement from the travel provider and this request was refused.
- Provide receipts/documents to confirm the amount paid for travel costs, e.g. flight.

If you are able to undertake an in-person mobility experience overseas at your host institution or organisation then yes you will continue to be eligible to receive an Erasmus+ grant. However, if you undertake a virtual mobility opportunity for the Autumn Term then you are not eligible to receive an Erasmus+ grant.

Given the uncertain development of the situation in relation to international travel, it is currently unknown if/when travel will recommence. We would recommend that you try to make arrangements for either your landlord, friends/colleagues, host university in-country to package up your belongings and ship them back to you at your home address.
If you are able and do choose to return to the accommodation to collect your belongings, this will be at your own expense.

We understand that in these circumstances you may feel there remains too much uncertainty to continue with your planned period of mobility. Should you wish to cancel your mobility for this semester/year, please let the Student Mobility team know as soon as possible by e-mail at studyabroad@warwick.ac.uk
Alternatively, you may prefer to postpone your arrival until the spring term 2021. If you feel that the academic offer in the Spring supports the learning required for your home programme and you would like to transfer to the spring term, please email europemobility@warwick.ac.uk (Europe) or studyabroad@warwick.ac.uk (worldwide) and we will investigate the options for you.

Check your accommodation contract to see whether there is a force majeure clause in the terms and conditions as this may allow the agreement to be cancelled. Contact your landlord to see whether they are willing to end your contract and provide a refund of rent. If your landlord refuses to return any funds to you then Insurance Services may be able to help subject to insurance policy terms and conditions. If you can evidence that you have made reasonable endeavours to get your money back from the landlord directly, provide a copy of your accommodation contract and evidence of your rent payment (with sort code and account number redacted) then the insurer may, subject to insurance policy terms and conditions, be able to assist with recovering rent for the period that you are no longer able to use the property.

Please ensure that you have updated your current location on eVision and that you are in touch with the Study Abroad Coordinator for your department. Departments are working hard to develop alternative assessment methods for to your time abroad in order to fulfil your course requirements at Warwick. Please liaise with your Departmental Coordinator directly about requirements and ensure that where offered you are continuing to engage in distance learning/assessment or work from home opportunities offered by your host institution/organisation.

If you can evidence that you left the country after the FCO advice changed to ‘no non-essential travel’ for the country you were in, insurers will cover non-returnable deposits for accommodation subject to evidence of loss and terms and conditions of the insurance policy. You should contact the Insurance Services team (insuranceservices@warwick.ac.uk) once you have evidence of rent payments to date (with sort code and account number redacted), a copy of your accommodation agreement showing it is non-returnable, and evidence that you have been in contact with your landlord to request to end your accommodation contract early without penalty but they have refused. Please be mindful claims must be sent to the insurance Team within 50 calendar days of the FCO advice changing (for most students this will be mid-late April 2020). If you are struggling to meet this deadline please let them know.

Students who are intending to spend either a term or a full-year on a student mobility programme for 2020-21 will be charged the standard 15% of the relevant fee as set out in the link here. This will apply if due to the Covid-19 restrictions you are now spending part of your planned year at Warwick, distance learning with a partner university, or engaged with an internship programme at a business.
If your circumstances change and you revert to a three year degree, the standard relevant undergraduate fee will apply.

Once you have submitted the required documentation, grants will be processed as quickly as possible but please be patient with us as the team are working hard to support students experiencing challenges across the world as well as processing a large number of grants.

- Contact your landlord to find out whether they are able to package up your belongings and ship them back to you at your home address. If you were in accommodation managed by your host university we recommend that you make contact with Accommodation Services and they will hopefully be able to arrange this for you (although we anticipate there may be some delay).
- If your landlord is unwilling or unable to do this, do you have any friends/colleagues who are still in-country who would be able to do this for you? Alternatively we recommend that you look in to local companies who may offer this service.
Please note the deadline for claiming reimbursement for the return of belongings by is 10 July 2020. You will need to submit an FP16a claim form to your Study Abroad Coordinator. The university is unable to reimburse travel costs where you are planning to return to your accommodation to collect your belongings in person.

- If you have already returned home but your belongings are still in your host country, you can claim the cost of shipping your belongings back to you. Please complete an FP16a form and return this to your departmental Study Abroad Coordinator at Warwick.
- For those who returned with their belongings when they returned home, you are able to make a claim towards the luggage costs as identified in the ‘travel costs’ section of the FAQs.
- The deadline for claiming reimbursement for the return of belongings is 10 July 2020

The University Business Travel Insurance policy is due for renewal at the start of August. There may be changes in the policy due to the Covid-19 pandemic. We do not yet know whether future expenses incurred as a result of Covid-19 will be covered under the new policy. We will advise you once we are clear on the terms of the new policy.
