Prepare your vacancy

You may find it useful to prepare your job description and person specification using this template, if you need to share content with other colleagues for approval or drafting.

You can then use this template information to cut and paste your advert into myAdvantage. If you “Save as Draft”, you can continue to edit your document, but this will not be seen by students and graduates until you choose to “Save and Publish” (see further information below on “add a live vacancy on myAdvantage”). Remote working opportunities

Remote working opportunities require a clear indication in the title and advert details that the role will work remotely. Please refer to “Recruitment & Selection” in our guidance.

Where character limits are noted, these must be adhered to or you will not be able to save the advert.

Summary (required, 500 characters, including spaces)

In addition to the job title, organisation name and closing date, this brief text will be the only meaningful part of the advert that students/graduates see as they scroll through the vacancies, so make it attention-grabbing in terms of either who you are, or what they’ll be doing. They won’t then see this once they have clicked on the advert, so you might wish to repeat it in the next section as well. You can create bullets in the job details and application procedures sections by putting an * at the beginning of the line.

[This is the main body of your advert, and where your Job Description and Person Specification have to fit. You can attach a file to the vacancy, which you may wish to take advantage of to explain the role or requirement in more detail.

We suggest that a job description and person specification include the following, you may also wish to refer to the employer toolkit on further areas to include in the vacancy listing here:

  • the summary text, above
  • a sentence describing what your company does (if not covered in the summary). Look and feel of your organisation and its people
  • an informative description of the position, e.g. duties/responsibilities, where it fits into the organisation and its strategy, reporting structure, benefits of undertaking this role at this organisation
  • person specification outlining both Essential and Desirable skills – technical and transferable skills/knowledge/experience/qualifications
  • shorter opportunities, or those that are project-based, read well as ‘development opportunities’
  • training and development opportunities which might include having a buddy, joining more senior meetings or working with clients.
  • working pattern (e.g. hours per week, evening/weekend work/frequency of work/full or part-time, term time, temporary, contract)
  • proposed start date and duration
  • if TOIL/Expenses are available

  • working environment (office based, hybrid, remote, lab)

If your role is for 12 months, you may wish to include University information about temporary withdrawal, in order to prompt applications from a wider applicant pool.

Application procedures (required, 4,000 characters, including spaces)

Explain how to apply, with clear instructions e.g. "A single page cover letter, plus CV", with a contact name, email or postal address. Any supporting information regarding the recruitment process around timings, location, expenses offered, etc will help students plan and work round commitments.

Select the type of work which best describes your vacancy. If you would like to proceed with advertising your vacancy as an unpaid placement, you will need to add your vacancy type as “Work Experience” and “12 Month Placements” (if applicable) and the following text will be required in your advert:

Add your live vacancy on myAdvantage

  • Login to myadvantage.warwick.ac.uk/Employers. You will see Welcome to myAdvantage for Employers.
  • Under the Vacancies menu in the left margin, click “Add Vacancy”. This will bring up the Vacancy form. You can then use the information on this template to select correctly from drop-downs, and copy and paste your draft Vacancy into myAdvantage.
  • “Save As Draft” if stepping away from your computer to avoid losing work (there is an automatic logout) and access it again via the left-hand Vacancies menu. Important If you “Save as Draft” or “Save and Continue”, you can continue to edit your document.
  • Once you click “Publish Vacancy”, you can no longer edit your Vacancy, but you can view it by clicking on “Prelisted” (before the Vacancies go live to students) or “Current” (once the Vacancy is live) in the “Vacancies” menu in the Welcome page of myAdvantage.
  • At this point, revisions to the Vacancy can only be done by clicking on “Change Request”.
