Information About PGR Stipend Payments

New Starters

You do not need to contact the PG Scholarships team directly to make them aware of your fee and/or stipend award. This will be processed following request from your department or the Doctoral College and cannot be done without their approval. This will be done in time for you to receive the 1st instalment shortly after you fully enrol. If you have any questions or concerns, please contact your department directly.

All payments of stipends to postgraduate students are paid by BACS to your nominated UK bank account. Payments are dependent on:

Us having an instruction from your department or the Doctoral College for the payment
You are fully enrolled as a student, including meeting all your visa requirements, via the online enrolment system
You uploading your UK bank account details

To provide your bank account details for PG payments, please follow the below steps:

Go to www.warwick.ac.uk/evision, log in with your Warwick username and password.
Click on “My Student Finance” on the left hand-side menu.
Click on “Providing Your Bank Details”.
Click on “Collecting Bank Details for Payments to Students”.
Select “PG Payments (payments for all PG students except PGCE)” from the drop-down list and click on “Continue”.
Enter your bank account details. Click on “Validate”.
Check that the details are correct and click on “Create”.
The “Fund Set Up Details” page loads, click on “Confirm”.
Click on “Finish”.

If you want to change your bank account details for payments, please contact pgscholarships@warwick.ac.uk to request the cancellation of your existing details; once you have received confirmation of this, you will then be able to enter new bank account details.

How Stipend Payments Work

If you have been awarded a stipend, this will be for a set amount of time, usually between 3 and 4 years if you are a full-time PhD student. This will have been communicated in your funding offer letter. This total award is split into a set number of monthly stipend payments, which you can expect to receive in advance at the start of each month. You will receive stipend payments from the start of your course until all payments have been issued, you submit your thesis for examination, or you permanently withdraw (whichever is sooner). This may not be the same length as your registration period, which is provided as a standard amount of time.

For example, if you are awarded a 3.5-year scholarship from October 2022, you can expect to receive 42 monthly stipend payments, with your final stipend payment at the start of March 2026. Your formal funding end date would be 31 March 2026.

You should design your research project with the aim to submit your thesis for examination at the end of your funding period, as this will avoid you experiencing unnecessary and foreseeable financial hardship.

We advise that you keep your own records of how many stipend payments you have received, and how many remain. Please email pgscholarships@warwick.ac.uk if you would like confirmation of your remaining stipend payments.

Pausing Payment

If you take a temporary withdrawal, this will affect your stipend payment schedule and funding period. A stipend payment will be made if you are in attendance or on paid leave for at least one day of that month. It is therefore important to consider the precise days that you take as withdrawal as this can have a significant impact on your payment schedule.

For example, if you go on unpaid temporary withdrawal from 15 May to 25 July 2023 (71 days), your formal funding period will extend by the number of days of withdrawal. If your funding end date had been 31 March 2026, it will now be 10 June 2026 (+71 days). As you are in attendance for at least one day in May and July 2023, you will receive your normal stipend payment in full for both May and July, but the payment for June 2023 will be postponed. If your final stipend payment had been due at the start of March 2026, you will now receive your final payment at the start of April 2026, but you will not receive a payment in May or June 2026, despite still formally being in your funded period. You will receive the same number of stipend payments as you originally expected.

Additional Payments

Your funding period and total number of stipend payments due will only be increased if you receive a funded extension or paid leave.

For example, if you go on temporary withdrawal with paid sick leave from 15 May to 25 July 2023 (71 days), your formal funding period will extend by the number of days of withdrawal. If your funding end date had been 31 March 2026, it will now be 10 June 2026 (+71 days). You will continue to receive a stipend payment in full for all three months of withdrawal. You will also receive three additional payments after your original funding concludes. If your final stipend payment had been due at the start of March 2026, you will now receive another two full payments in April and May 2026, and a smaller final payment in June 2026.

Changing mode of Attendance

Part time PGR study is at 60%. If you choose to change from full time to part time study, your funding period will extend such that you receive your full award at the lower rate for a longer period. If you change from part time to full time study, you will receive the higher rate for a shorter period.

For example, if you started full time in October 2022 for 3.5 years (42 full time payments), but change to part time from 1 October 2023, you would have had 30 full time payments remaining. This will convert to 50 part time payments. Your funding end date will extend from 31 March 2026 to 30 November 2027.

Glossary

Funding End Date is the formal date on which your funding concludes. After this date you are considered self-funded and your entitlement to paid leave and access to other financial resources concludes.
Funding Period is the time you are considered a funded student, eligible for paid leave and access to any research support costs. When this period concludes, you are considered self-funded.
Registration Period is the time you are registered at the University as a student. This is not the same as your funding period.
Stipend is a tax-free allowance provided to support your living costs while you study. This is split into monthly payments but is not considered a salary.
Stipend Payment Dates/Schedule are the dates on which you will receive a stipend instalment. Stipend payments are made in whole months in advance if you are in attendance or on paid leave for at least one day of that month. Your final stipend payment date may be significantly before your formal funding end date.

FAQs

Can I receive payments into my overseas bank account?

If you are an international student who will not be able to arrive in the UK in time to open UK bank account before the start of the 2025/26 academic year then you may be able to receive your stipend payments into a digital bank account.

Do I need a UK bank account?

Please note that the University does not recommend any particular bank or bank account to you.

If you are in receipt of an award that includes a stipend, please note that you are expected to have a UK bank account.

However, if you are an international student who will not be able to arrive in the UK in time to open UK bank account before the start of the 2025/26 academic year, please read the information on this link.
- If you are to receive a stipend as part of your postgraduate award, we will be able to process stipend payments to digital banking accounts, however you should consider using these as a temporary solution.
- Once you arrive in the UK you will be able to open a full UK bank account which may offer greater financial protection and better suit your needs.

How do I set my bank details up?

I received a request for payment of fees, even though my award covers these and I have completed enrolment. Is something wrong?

If you are in receipt of an award that covers your fee, please note that we will be made aware of this by your department; you do not need to contact us directly
As soon as you complete your online enrolment the fee charge will be included to your account.
The fee charge will remain in your account until we upload all new award information and payments.

For the new academic year, this takes place just before the 1^st of October when all new awards have been processed.

What do I do if I need to change my bank details?

What happens if I submit my thesis early with regards to fees?

For self-funded students fees will be capped at 36 months full time equivalent, but will not be reduced below this. For students whose fees are covered by an external sponsor, funder or university scholarship fees will be reduced pro-rata to the month of submission, capped at a minimum of 36 months full time equivalent.

What happens if I submit my thesis early with regards to stipends?

Students are only entitled to receive their stipends up to and including the month of their 1^st thesis submission. Once this has been processed through the system the students accounts will be reviewed and adjustments made if required. Students are entitled to keep any payments relating to the month of their submission, regardless of which date within the month the submission date is. In the case of any overpayments, students will be notified of the value of the refund due and the charge will be transferred to their student account for payment.

What happens if I withdraw from my studies?

If you choose to temporarily or permanently withdraw from your studies, your stipend will stop and any overpayments that have been made will need to be repaid to the University. Students' stipends are paid monthly in advance. You will receive a full month’s stipend for any part of a month you were in attendance, the only exception being if you permanently withdraw within 2 weeks of your start date on the course. In this case, you are considered as not having attended, and any and all stipend payments received will need to be refunded.

Please note if the reason for TWD relates to maternity / paternity / parental leave, or funded sick leave your stipend payments will continue during this period as approved under the relevant Parental LeaveLink opens in a new window or Sick Pay policies.

When will I receive my monthly stipend payment?

Monthly stipend payments will reach your account on the 1^st of the month.

Why are there fee charges on my account when I have been told I am getting a fee award?

Fee awards are only processed upon receipt of notification from the department giving the award. However, due to the volume of awards to be processed, especially between August and October, there may be a delay in processing the award to your account. Therefore, please wait for a few weeks and it should be cleared.

Why have I not received my payment?

If you have not received a payment which you are expecting please check that you have entered your bank details by logging in to the student finance section of the Student Records system. You must also be fully enrolled. If you are fully enrolled and have already entered your bank details please email pgscholarships@warwick.ac.uk.

Will I get payslips?

No payslips are currently available or visible on your eVision account. We advise that you keep your own records of how many stipend you have received and how many remain. You can also check your bank account. Please email pgscholarships@warwick ac.uk if you would like confirmation of your remaining stipend payments.

Will I receive less stipend if I transfer from Full time to Part Time study?

Yes, Part Time students are paid at a rate of 60% of their Full Time stipend.

Will the tuition fee scholarship be paid into my account?

If you hold a fee award this will be paid directly to the University.
