PGR Parental Leave

Following the birth or placement of a child, eligible research students can take maternity, paternity, unpaid parental or adoption leave. Please read section 1 and 2 in full and submit the requested forms at the time of claiming paretnal leave.

1. Parental Leave Entitlement

1.1 Maternity Leave

1.1.1 All research students registered at the University of Warwick are eligible to take up to 52 weeks of maternity leave by suspending their studies, if they are:

  • the person who will give birth or
  • the primary adopter or
  • the primary intended parent through a surrogacy arrangement

1.1.2 Where a student is in receipt of a stipend, entitlement to paid maternity leave and an extension to their funded period is determined by the conditions of their funding. Students who are unsure about the source of their funding should contact their Department Postgraduate Administrator for clarification.

  • UKRI Training Grant and University (central or department) funding
    • 26 weeks (6 monthly instalments) full stipend capped at UKRI rates, followed by
    • 13 weeks (3 monthly instalments) at reduced SMP rate, and
    • 13 weeks (3 months) unpaid.
  • External funding – payment provided at the discretion of the funder, to be confirmed by the department.
  • Self-funding, unfunded, and fees-only – no payment provided during maternity leave.

1.1.3 Students who are registered part time will receive their standard pro-rata stipend payments capped at UKRI rates (for the initial 26-week period as above) followed by 13 weeks the reduced SMP payment, capped to a maximum of 100% of their normal stipend rate.

1.1.4 Students do not have to take the full 52 weeks maternity leave and can opt for a shorter period of maternity leave; however, in line with guidance for staff, students are expected take at least two weeks leave following the birth of the child.

2. Process

2.1 Suspension of Study

2.1.1 Any research student applying for maternity, paternity, unpaid parental or adoption leave should apply for either Temporary Withdrawal (TWD) or, where appropriate to comply with visa regulations, Authorised Absence (AA, section 3.4), for the relevant period.

2.1.2 Requests for TWD for parental leave should be discussed with supervisors and made through Student Records Online as early as possible to ensure continuity of payments. All requests require the following supporting evidence:

  • An NHS MAT1B form (issued approximately 15 weeks before the expected week of birth and are normally provided by the midwife), or
  • Evidence of placement of a child for adoption
  • In order to support the funding processes for Parental Leave requested TWD start and end dates should be inclusive of the last day of study before the leave period starts, and the first day of study after the leave period ends. E.g. if a student intends to be absent for 1st February to the 31st July their TWD request should be dated 31st January to 1st August.

2.1.3 When the TWD is granted, the student’s submission date will be amended, and the student will be notified of their new submission date by email.

2.1.4 Unless specifically requested (following the process in section 2.2), periods of temporary withdrawal or authorised absence are unfunded. Regular stipend payments automatically pause, resuming only upon resumption of active study.
