Microsoft Teams Troubleshooting Guide

If your instance of Microsoft Teams is not working as expected, follow these simple steps to fix the most common problems.

Can’t Log In or Access Teams?

Check Your Email and Password

Make sure you're using your correct Microsoft 365 login. If you have forgotten your password, please contact your local IT team.

Remember you will need to sign in to The University of Warwick's Teams as a Warwick Guest.

Basic Fixes (Try these first)

Restart Teams

Fully close Microsoft Teams and open it again. This can fix temporary problems.

To fully close Teams: right click the Teams symbol in the taskbar and choose 'Quit Teams'. It will keep running in the background if you use the X in the top right of the window.

Check Your Internet

Teams needs a stable internet connection. Make sure you're connected to Wi-Fi or a reliable network. You might want to try the below suggestions to fix internet issues:

Check Physical Connections
  • Ensure all cables (Ethernet, coaxial, fibre, power) are securely connected.
  • Confirm modem and router are plugged in and powered on.
Restart Modem and/or Router
  • Unplug both modem and router.
  • Wait 30 seconds, then plug them back in (modem first, then router).
Reboot Your Device
  • Restart your computer, phone, or tablet.
Check for Outages
  • Use your Internet Service Providers app or website to check for outages.
Forget and Reconnect to Wi-Fi
  • Remove the Wi-Fi network from your device, then reconnect with the password.
Try a Different Device
  • See if the problem is device-specific.
Update Network Drivers or Operating System (OS)
  • Ensure your system's network drivers and OS are fully up to date.
Disable VPN or Proxy
  • These can interfere with internet access. Disable them and try again.

There are many potential causes for internet connectivity problems this list is not comprehensive.

Using the latest version helps avoid bugs.

  • Click your profile picture in Teams.
  • Select Check for updates.

Clear Cache (Advanced Fix)

If Teams is slow or won’t load properly, try clearing its stored files:

  • Windows: Press Win + R, type %appdata%\Microsoft\Teams, and delete the files in that folder.
  • Mac: Open Finder and go to: ~/Library/Application Support/Microsoft/Teams

Sign Out and Back In

  • Click your profile picture >Sign out, then sign in again. This refreshes your session.

Fix Audio or Video Problems

Check Devices

Go to Settings > Devices and make sure the correct microphone, speakers, and camera are selected.

Make a Test Call

Test your microphone and camera in Teams:

Close Other Video Apps

If Zoom, Skype, or other apps are running, they may block your camera or mic. Close them first.

Trouble with file sharing?

Check Permissions

You can only share files if you have the right permissions in the Team or channel. Ask your team owner if needed.

Check OneDrive Sync

Teams stores files in OneDrive. If it’s not syncing, your files may not upload.

Calendar or Meeting Not Showing?

Check Outlook Connection

Teams uses Outlook for calendar features. Make sure both apps are signed into the same Microsoft 365 account.
